Overview
The Clinical Documentation Improvement Program at UI Health Care is seeking a full-time Administrative Service Coordinator to join our team. The Administrative Services Coordinator contributes to the success of the Clinical Documentation Improvement (CDI) Program by providing administrative support to daily operations.
Responsibilities- Provides reports and information, maintains databases and reports, monitors workload, coordinates meetings and special projects, monitors expenditure appropriateness, coordinates changes in policies and procedures, and provides exceptional customer service to internal and external customers. Administrative responsibilities require a high level of discretion, confidentiality and professionalism.
- Maintains a high level of organization, strong communication skills, technical computer expertise, excellent customer service/service recovery skills, teamwork, and willingness to ensure all functions are completed in a timely and professional manner. Manages multiple priorities and demonstrates strong problem-solving and critical decision-making skills.
- Characteristic Duties And Responsibilities information management/communications management: serves as the primary contact for the CDI Program; screens incoming calls, answers common questions, and triages complex inquiries to ensure prompt responses.
- Prepares and administers correspondence and maintains program records (meeting minutes, reports, etc.) for easy retrieval to document program development, projects, and events.
- Assists in coordination of CDI education for providers, CDI Nurses and Physician Advisors, and other education-related documents.
- Utilizes MS Office Suite (Outlook, Word, PowerPoint, Excel) for data and communications, including maintenance of leadership calendars.
- Utilizes EPIC electronic medical record and other resources as necessary to support departmental needs.
- Monitors and orders program or departmental supplies.
- Initiates Purchase Orders, P-Requisition s, e-Deposits, and Travel Expense Vouchers as needed.
- Schedules internal and external appointments, events and meetings, including identifying room locations, sending meeting planners, identifying scheduling conflicts, and rescheduling as needed.
- Coordinates travel arrangements for faculty and staff; prepares travel requests and expense vouchers.
- Assists in coordination of meetings, educational forums and programs, web-based conferences and seminars, and other special projects as needed; takes meeting minutes, coordinates registrations, makes appropriate room arrangements and food orders, confirms speakers, coordinates continuing education credits and program evaluations, etc.
- Assists in policy creation or updates based on customer input.
- Maintains effective working relationships with faculty, staff, patients, visitors, volunteers and students.
- Assists with reportable data for provider queries and CDI-related metrics, utilizing resources such as CDI databases, Vizient and Tableau.
- Performs other duties as assigned.
Some flexibility between the hours of 7:00 AM and 5:00 PM, Monday through Friday.
Work locationThis position is located at the Healthcare Support Services Building (HSSB), 3231 Ridgeway Drive, Coralville, IA 52241. This position is eligible to participate in partial remote work after the initial training and onboarding has been completed. Remote work must be performed at a location within the state of Iowa and will require a work arrangement form to be completed upon the start of employment.
Per policy, work arrangements will be reviewed annually and must comply with the remote work program and related policies and the employee travel policy when working at a remote location.
