Job Description SummaryThe Operations Coordinator provides essential operational, administrative, and systems support to the Generis headquarters team and remote consultants. This role focuses on office management, operational coordination, data compilation and reporting, management of the wealth screening pipeline, and basic IT systems administration. The Operations Coordinator plays a key role in ensuring that internal operations run smoothly, data is accurate and accessible, and consultants and staff are supported with reliable processes and tools.
This role supports fundraising and generosity initiatives for churches. Applicants should have a genuine interest in fundraising, donor engagement, and helping organizations resource their mission effectively.

- Manage the wealth screening pipeline, including data intake, tracking, and status updates.
- Compile, organize, and prepare operational and client-related data to ensure accuracy prior to sending to data screening vendors.
- Coordinate with consultants and vendors to ensure screening requests move efficiently through established workflows.
- Monitor pipeline progress, identify bottlenecks, and escalate issues as appropriate.
- Maintain documentation and reporting related to wealth screening activity and outcomes.
- Manage and maintain client and operational data, ensuring accuracy, confidentiality, and compliance with internal standards.
- The wealth screening pipeline operates efficiently, with clear visibility into status, timelines, and outcomes.
- Consultants receive timely, accurate information to support client engagement and fundraising strategy.
- Client data are compiled efficiently and accurately facilitating timely turnarounds for wealth screening requests.
- Manage office supply and equipment ordering.
- Maintain the internal Team Directory with current contact information.
- Receive, route, and respond to incoming phone calls and general client correspondence.
- Manage incoming and outgoing mail, including processing client payments.
- Support office hospitality needs (snacks, break area supplies, meeting readiness, team lunches).
- Office operations function smoothly and proactively, supporting an efficient and professional work environment.
- Client and partner communications are handled promptly and professionally at all touchpoints.
- The office environment is consistently organized, welcoming, and ready to support daily operations and meetings.
- Support basic IT and systems administration, including user account creation, access management, and permissions.
- Assist with ongoing administration of internal systems and tools used by staff and consultants.
- Serve as a first point of contact for basic technology and systems issues, escalating as needed.
- Support data integrity and system documentation across operational platforms.
- Serve as the primary system administrator for Hub Spot, supporting marketing, sales, and service operations through regular maintenance and configuration.
- Staff and consultants have reliable access to the systems and tools they need to perform their work effectively.
- IT-related requests are addressed efficiently, minimizing disruption to operations.
- Route and track consultant support requests or tickets, ensuring timely follow-up and resolution.
- Assist with onboarding and operational support activities for consultants as needed.
- Facilitate clear and effective communication between consultants and home office teams.
- Cross train with Senior Operations Coordinator to provide operations teams support, including contract drafting, when necessary.
- Manage and update internal websites as needed.
- Consultant support requests are resolved promptly, contributing to high consultant satisfaction and operational efficiency.
- The Operations Coordinator serves as a dependable point of contact, with a strong working knowledge of Generis processes, services, and systems.
- Support operational initiatives and special projects as assigned.
