Position: Divisional Scheduler, Administrative Nursing Support Cardiology, Full-time Days Monday-Friday

Divisional Scheduler, Administrative Nursing Support Cardiology

Location: Wake Forest Baptist Medical Center – Nursing Med Surg, 5 Reynolds CT Surgery, Winston‑Salem, NC

Status: Full‑time

Schedule: Monday‑Friday, 40 hours per week. Generally normal business hours.

Pay Range: $20.40 – $30.60 per hour

Job Summary

Provides administrative support and project leadership for compliance, scheduling, and operational efficiency within a large nursing division. Serves as the key departmental point of contact for nurse managers and staff regarding scheduling needs, revisions, and obstacles.

Key Responsibilities
  • Supervise and coordinate various personnel functions, including monitoring and assessing departmental schedules, balancing, swaps and BTO requests.
  • Review and revise schedules to optimize staff efficiency and unit coverage, anticipating multiple workflows.
  • Utilize Clair Via scheduling module and email for scheduling and documentation purposes.
  • Follow divisional policies and procedures to assure scheduling accuracy.
  • Coordinate staffing coverage and flow of information by communicating promptly with internal and external sources.
  • Prepare detailed analysis of staffing and census levels for individual units to identify shift‑by‑shift and week‑to‑week trends, justify additional staffing requests, and report key indicators.
  • Maintain budgetary metrics in multiple spreadsheet systems for units and the division.
  • Support regulatory compliance needs for surveying bodies such as the Joint Commission and CMS, including medication refrigerator log monitoring, corridor cleanliness, and completion of safety walks.
  • Assist in the development and implementation of methods to improve unit efficiency and customer service.
  • Coordinate events for units and the division as assigned.
  • Serve as a courteous, prompt contact for staff and leadership.
Required

Skills & Qualifications
  • Understanding of inpatient nursing needs.
  • Proficient in Microsoft Excel, Word, PowerPoint.
  • Professional handling of exposure to confidential/sensitive information.
  • Ability to multitask and remain positive in demanding situations.
  • Knowledge of purchasing and inventory control.
  • Ability to develop and maintain professional, service‑oriented relationships with staff, management, co‑workers, and supervisors.
  • Bachelor’s degree preferred; or equivalent combination of education and/or experience.
  • Strong background in computer spreadsheet systems.
Work Environment

Office and clinical areas (not a clinical role). Possible hybrid remote work during high schedule volume times.

Physical Requirements
  • Standing, walking, sitting, bending, reaching with arms, finger & hand dexterity, talking, hearing, seeing.
  • Possible lifting: 20 lbs. maximum, 50 lbs. maximum, 100 lbs. maximum.
