Development Operations and Corporate Matching Gift Manager
Santa Clara University (SCU) invites applications for a full‑time Development Operations and Corporate Matching Gift Manager. The role reports to the Senior Executive Director, Mission and Ministry and supports the University’s fundraising and operations functions while providing expertise on corporate matching gifts through Double the Donation software.
Location & Work ArrangementsRemote position approved for employees working in California, Nevada, Oregon, Washington, Arizona, or Illinois.
Responsibilities- Corporate & Matching Gifts:
- Identify and secure matching gifts using Double the Donation software.
- Maintain current matching gift information on SCU’s fundraising web pages.
- Promote matching opportunities via social media, email campaigns, and annual fund letters.
- Coordinate with Gift Processing for accurate submission and prompt processing of matching requests.
- Follow up with donors and corporate partners to secure matches.
- Develop and report on matching gift activity and effectiveness.
- Liaise with stewardship staff to ensure donors are thanked and engaged.
- Operations, Administrative & Strategic Support:
- Provide advanced management of the daily operations of the Senior Executive Director’s team.
- Coordinate staff and professional development meetings, including logistics, speaker arrangements, and materials preparation.
- Prepare, submit, and reconcile expenses in Workday per University policies.
- Manage calendars, schedule meetings and events, and supply relevant information beforehand.
- Collect prospect information, analyze data, and prepare reports, donor briefings, and proposals.
- Record activities in the CLARA donor database and set up reminders.
- Submit vendor contracts and invoices for approval, ensuring timely payment.
- Provide occasional front‑desk support as needed.
- Support for Senior Executive Director, Mission and Ministry:
- Assist with administrative functions, including events, meetings, calendars, and travel.
- Prepare and reconcile monthly budget expenditures in Workday.
- Project fiscal year budgets, track spending, and analyze variances.
- Submit financial transaction adjustment requests (FTARs) when required.
- Manage job candidate searches, communications, and hiring flow.
- Coordinate travel arrangements and prepare itineraries.
- Draft and edit correspondence, briefings, and reports.
- Handle e‑signature uploads and donor file updates.
- Maintain filing systems and produce monthly departmental reports.
- Interact professionally with constituents, campus staff, and donors.
- Assist with special strategic projects as assigned.
- Knowledge: Understanding of financial, hiring, and operational practices; familiarity with higher education fundraising preferred; appreciation of SCU’s mission and Jesuit Catholic values.
- Skills: Proactive organization, accountability, initiative, and creativity; excellent verbal and written communication; advanced planning and coordination; proficiency with fundraising databases, Word, Excel, PowerPoint, Google Workspace, and web resources; willingness to learn new software.
- Abilities: Strong interpersonal and collaboration skills; ability to build relationships and motivate stakeholders; sound judgment for confidential decisions; time‑management and multitasking in a deadline‑driven environment; positive attitude and flexibility.
- Education & Experience: Bachelor’s degree preferred or equivalent experience; minimum five years of professional experience in a nonprofit, higher education, or related field; valid driver’s license.
- Additional Requirements: Valid driver’s license and ability to travel within campus.
The role requires prolonged desk work and occasional campus travel. The environment is a typical indoor office setting with moderate noise and intermittent interruptions. Remote work is available; hybrid arrangements are acceptable.
