This position is posted by Jobgether on behalf of a partner company. We are currently looking for a Remote Administrative Assistant. In this role, you will provide crucial secretarial support to ensure seamless operations within the organization. Your efforts will enhance communication with internal and external stakeholders while maintaining executive schedules and managing meeting logistics. Your ability to multitask and prioritize will make a significant impact on the efficiency and effectiveness of our operational processes.

Accountabilities
    • Communicate effectively with internal and external stakeholders via phone, digitally, and in person.
    • Manage and maintain executive calendars, using sound judgment to prioritize meetings.
    • Organize details related to arranging business meetings, including logistics and catering.
    • Assist leadership with presentations and meeting materials.
    • Maintain travel schedules and make necessary travel arrangements.
    • Maintain office files, records, and filing systems.
    • Determine the proper course of action for incoming requests and correspondence.
    • Anticipate needs before they arise and eliminate potential bottlenecks.
    • Handle audio/visual needs for meetings as required.
Requirements
    • 5+ years of experience supporting senior-level executives in complex organizations.
    • Experience managing details for executives related to calendaring, travel planning, and expense management.
    • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Excellent verbal and written communication skills.
    • Ability to build strong working relationships internally and externally.
    • Demonstrated capacity for confidentiality.
    • Strong organizational skills and the ability to manage a large workload.
