Our client is a Financial Services company and is now looking for an Executive Assistant
.

Salary/Hourly Rate

$30/hr - $33/hr

Position Overview

The Executive Assistant will support a fast-paced, global professional services environment. This role provides flexible administrative coverage across investment and client-facing teams, responding to evolving business needs. The position follows a hybrid schedule with 3 days per week working in-office and 2 days per week working from home.

The Executive Assistant will step in to support colleagues during planned and unplanned absences, assist during peak workload periods, provide coverage for open roles, and contribute to special projects as needed. This role requires adaptability, strong organizational skills, and the ability to quickly build trust with multiple stakeholders.

The ideal candidate is highly detail-oriented, service-driven, and exercises sound judgment. They thrive in deadline-driven environments, manage competing priorities with ease, and bring a collaborative, team-oriented approach to their work.

Responsibilities Of The Executive Assistant
  • Provide proactive calendar management, anticipating scheduling conflicts and prioritizing time-sensitive commitments.
  • Coordinate domestic and international travel, including detailed itineraries, accommodations, and logistics.
  • Manage complex meeting logistics across multiple stakeholders, ensuring seamless coordination and follow-through.
  • Prepare highly detailed materials such as client reports, presentation decks, and meeting preparation packets.
  • Handle administrative operations including mail distribution, file management, and expense reporting.
  • Support special projects, events, and visiting stakeholders as needed.
  • Build and maintain strong, collaborative relationships with internal teams and external partners.
  • Perform additional administrative and operational support duties as required.
Required Experience/Skills for the Executive Assistant
  • Minimum of 2 years of experience in an administrative role within a professional services organization.
  • Advanced proficiency in Microsoft Office and willingness to learn new technologies to drive efficiencies.
Preferred Experience /Skills for the Executive Assistant
  • Experience in the investment management industry is a plus.
Education Requirements
  • High school diploma or equivalent required.
