We are excited to offer an Administration Assistant to join our team and play a key role in supporting day‑to‑day operations, internal coordination, and the smooth delivery of our consulting services.
About this role:Outliers Mining Solutions is seeking a highly organized and dependable Administration Assistant to support the firm’s day‑to‑day administrative and operational needs. This is a full‑time, permanent position governed by the Ontario Employment Standards Act (ESA).
The successful candidate will work remotely from Ontario and will be expected to manage administrative tasks independently while supporting consultants and management across multiple engagements.
This role requires a high degree of autonomy, sound judgment, and the ability to prioritize tasks independently in a remote work environment.
Key Responsibilities:- • Provide general administrative and clerical support to consultants and management
- • Coordinate calendars, meetings, and virtual calls across multiple time zones
- • Prepare, format, proofread, and manage professional documents, reports, and presentations
- • Maintain organized electronic filing systems and document version control
- • Support invoicing, expense tracking, and routine financial administration
- • Assist with proposal preparation, contract administration, and client correspondence
- • Maintain internal records and support onboarding documentation
- • Communicate with external service providers as required
- • Handle confidential and commercially sensitive information in accordance with company policies
Experience:
- • Post‑secondary education in business administration or a related field preferred
- • Minimum three years of experience in an administrative or office support role
- • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and cloud‑based collaboration tools
- • Strong written and verbal communication skills
- • Excellent organizational skills and attention to detail
- • Ability to work independently in a remote environment
- • Experience in professional services, consulting, engineering, or mining sectors is an asset
- • Experience supporting senior consultants or executives
- • Familiarity with project‑based or billable consulting environments
- • Exposure to basic bookkeeping, invoicing, or time‑tracking systems
- • Experience working across multiple time zones
Conditions:
- • This position offers a salary range of $48,000 to $65,000 annually, based on skills and experience.
- • Employment standards, including hours of work, overtime (where applicable), public holidays, vacation entitlement, and leaves of absence, will be provided in accordance with the Ontario Employment Standards Act.
- • Statutory holiday pay and vacation pay provided in compliance with ESA requirements.
- • Reasonable accommodations will be provided in accordance with applicable legislation.
- • Fully remote position based in Ontario
- • Standard business hours with reasonable flexibility, subject to operational needs
- • Use of employer‑approved systems and tools as required
