Codifly is a young company based in Affligem, specialized in developing innovative apps. We help businesses build complex, highly interactive web and mobile applications, and this from backend to user interface. Our main focus is on startups, but we also work on innovation projects for established companies.
Our business operations can only run smoothly if everything behind the scenes is perfectly organized: behind every line of code is a person who needs coffee at a functioning desk. That’s where you come in.
As Office Manager, you are the central hub that keeps everything running: you handle practical matters on the one hand, while also taking care of more complex support activities on the other. You manage administration, including purchasing (and you’re not afraid to negotiate), sales, accounting, and payroll. You prepare and follow up on subsidy applications. You manage the company vehicles. You are responsible for the well‑being policy and workplace safety.
Responsibilities- You are responsible for the day-to-day management of the office. This includes maintenance and repairs, ensuring overall cleanliness, and purchasing supplies.
- You oversee the accounting processes: you record purchase invoices and prepare monthly sales invoices.
- You monitor payments and ensure smooth administrative handling of financial processes.
- You manage our fleet of vehicles, from purchasing and maintenance to repairs and inspection follow-up.
- You handle the administrative side of HR.
- As an internal prevention advisor, you are responsible for developing and implementing the company’s well‑being policy, while ensuring compliance with safety and risk management measures.
- You take care of other supporting administrative tasks, such as subsidy applications and insurance management.
- You are the face of our business center, Growthopia, where you handle onboarding of new members, monthly invoicing, and day‑to‑day support.
- You manage the rental of two locations, from lease agreements to annual expense settlements and monthly follow‑ups.
- You ensure a warm welcome for all visitors.
- You hold a master’s degree and have at least 2 years of work experience in office management or a related administrative role.
- You are fluent in both Dutch and English.
- You want to work as an employee (not as a self‑employed professional or freelancer).
- You are willing to work mostly on‑site.
- You have a valid category B driving licence.
- You have an EU, EEA or Swiss citizenship or have a work permit valid in Belgium.
- You are well organised and can work in a structured manner.
- You have strong numerical skills and a basic understanding of accounting principles.
- You are knowledgeable about Belgian social legislation and labour law.
- You handle sensitive information discreetly and confidentially.
- You have excellent communication skills.
- Affinity with or a strong passion for the IT sector is a must.
- Experience with Microsoft Dynamics 365 Business Central.
- Experience in preparing and following up on subsidy applications.
- Knowledge of health and safety regulations.
- A valid first‑aid certificate from a recognised institution.
