Key Responsibilities:
- Own reseller reporting: collect, validate, and submit monthly reseller sales reports; reconcile variances and maintain historical archives.
- Maintain current price lists and discount schedules; track version control and distribute updates to internal teams and partners.
- Track vendor and distributor rebates: monitor eligibility windows, submit claims, reconcile credits, and report realized savings to stakeholders.
- Manage monthly billing and invoicing: prepare invoices, validate supporting documentation.
- Review employee expenses for policy compliance and accuracy; flag exceptions, request corrections.
- Create purchase orders (POs): prepare and route for approvals.
- Process POs end-to-end: confirm acknowledgments, track deliveries, match invoices to POs, and resolve discrepancies.
- Assign and track training for certifications: manage enrollments, monitor completions and expirations, and report certification status to leadership.
- Maintain filing and documentation: ensure organized, audit-ready records across reports, invoices, POs, rebates, and training artifacts.
- Assist finance team with necessary information to generate monthly dashboards and summaries for leadership on billing, rebates, expenses, and certification compliance.
- 3–5 years in operations, billing, accounting support, or/vendor administration.
- Proficiency with spreadsheets (formulas, pivot tables, lookups) and familiarity with ERP/accounting systems and expense tools.
- Strong data accuracy, reconciliation skills, and attention to detail under deadlines.
- Experience with purchase order creation/processing and invoice matching.
- Clear written and verbal communication; strong organization and follow-through.
- Experience with reseller/distributor ecosystems, vendor portals, or channel programs.
- Familiarity with CRM tools and quote‑to‑cash workflows.
- Familiarity with Quick Books or equivalent.
- Exposure to reporting or dashboarding tools.
- Basic understanding of contract terms, pricing/discount structures, and tax considerations.
