Overview
An exciting opportunity has arisen for a full‑time Facilities Services Assistant. The role provides professional and courteous administrative and secretarial support to the management team within the Facilities Services team.
Key Responsibilities- Provide professional and courteous administrative and secretarial support to the management team.
- Coordinate and administer in‑house services within the department.
- Deputise for the Office Manager, covering planned absences and ensuring service resilience and performance delivery.
- Manage the Trust courtesy buses, staff, and processes.
- Act on own initiative to resolve problems and take appropriate action.
- Use effective communication skills, including persuasion and tact, adapting to a range of situations.
- Support management of the Trust’s courtesy buses, reviewing routes, timetables and resources to ensure smooth operation for patients.
- Develop effective and efficient practices, proactively delegate tasks, and be accountable for meeting strict deadlines.
- Maintain, monitor, and input orders and invoices onto the Trust’s financial database (Oracle), ensuring accuracy, tracking, filing, creating purchase orders and recharge invoices, following up on queries, and keeping accurate records for contracted services.
- Provide specialist contract administration, working with the Procurement Department on contract wording and managing the tendering process of services.
- Audit performance data in relation to identified key performance indicators.
- Excellent organisational and prioritisation skills in a busy environment.
- Proactive problem‑solving ability and initiative.
- Strong communication skills, including persuasion and tact.
- Experience with financial databases and procurement processes (Oracle preferred).
- Previous secretarial or administrative experience in a service‑oriented environment.
- Understanding of contract administration and tendering procedures.
As per Home Office guidelines, the Trust is unable to offer sponsorship for this position. A full‑time permanent vacancy cannot be filled by individuals on a Student visa unless they have applied for or hold a Graduate visa, or the Trust has agreed to sponsor them as a Skilled Worker with completion of studies within 3 months of the anticipated start date.
