Provide high-level administrative support to 3–4 Managing Directors in a fast-paced professional office environment. This role requires strong organizational skills, sound judgment, and a collaborative mindset, with flexibility to support broader office needs as required.
Key Responsibilities- Provide comprehensive administrative support to 3–4 Managing Directors, including complex calendar management, travel coordination, and expense reporting
- Serve as backup support for administrative colleagues during vacations or absences, assisting their managers as needed with phone coverage and office support
- Prepare and manage documents and materials, including printing, scanning, binding, and assembling presentations
- Open, sort, prioritize, and distribute Managing Directors’ mail; coordinate courier services and Fed Ex shipments
- Answer and screen phone lines for Managing Directors and provide backup coverage for the main office phone line
- Assist the Administrative Team with restocking office supplies and maintaining shared work areas
- Support additional projects and responsibilities as assigned
- Excellent written and verbal communication skills, sound judgment, and strong problem‑solving abilities
- High attention to detail with strong organizational and time‑management skills
- Positive, dependable team player who is proactive and willing to support colleagues
- Ability to work effectively in a fast‑paced environment while managing multiple priorities
- Flexible and adaptable when supporting different teams and evolving needs
- College degree preferred or equivalent corporate experience (minimum 2+ years)
- Proficiency in Microsoft Office applications, particularly Outlook for email, calendar, and contact management
Compensation is targeted at $65,000 dependent on experience
Reporting RelationshipReports to the Managing Directors for EA duties, and the Office Manager for administrative duties
Work ScheduleMonday–Friday, 7:30 AM – 5:00 PM, with overtime as needed
Physical SettingOffice (On‑Site), there are not any opportunities to work from home
