About The Job

Avid is looking for an experienced Administrative Assistant to support its operations & functions. You will report to the Executive Administrator and Coordinator.

Remote opportunity, ideally near Burlington MA and able to commute into the office from time to time.

Responsibilities And Duties
  • Proactively manage the executive's complex calendar, prioritizing meetings and ensuring alignment with strategic objectives.
  • Arrange complex domestic and international travel and itineraries utilizing SAP/Concur.
  • Prepare, review, and submit accurate expense reports for executives on time, reconciling credit cards and ensuring policy adherence.
  • Create & track all department PO's while working closely with contracts team to make sure SOWs are accurate, align with company policy & are fully executed.
  • Efficiently prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Maintain Outlook distribution lists for each Executive’s functional area.
  • Assist Executive with Workday & Concur entries and approvals as needed.
  • Tradeshow or other department sponsored event support;
    Create, manage and reconcile all PO’s related to events;
    Manage room blocks, staffing lists & contact lists; compose and send registration & travel communications to staff;
    Organize and plan events as needed.
  • Management of vendor contracts from receipt through Finance, Legal and Executive signature. Including but not limited to;
    New vendors, Trade shows, Hotel blocks, Field events, Customer meetings.
  • Assist with scheduling coordination of all Demo, Executive and Workflow meetings for major trade shows (NAB, IBC, AES) manage functional calendars, contacts and meeting logistics.
  • Manage department office supplies, subscriptions, memberships, equipment and information technology.
  • Receive, screen and handle telephone calls, mail, and other correspondence.
Qualifications And Skills
  • A minimum of 3 years’ previous executive support experience.
  • Bachelor’s Degree
  • Highly resourceful team player with the ability to be extremely effective independently and with little direction
  • Proficient in use of MS Office Suite (Outlook, Teams, One Note, Excel, PowerPoint, Word), Net Suite, SAP Concur, Workday.

US Pay Transparency Range $55,000.00 - $70,000.00
