Office Administrator/ Coordinator
Our London office is seeking an experienced Personal Assistant who can hit the ground running and provide high‑quality, flexible support to partners and their teams. You will ensure a first‑class PA service to a defined number of partners, working closely with business support team members. The role is varied and fast‑paced with scope to improve processes and make life easier for busy fee earners.
Reporting directly to the EA – Team Lead, responsibilities will include:
- Manage partner diaries, including arranging meetings and Teams calls, booking meeting rooms and required refreshments.
- Provide administrative support to Partners including inbox management, office bookings and submission of expense claims.
- Arrange travel, itineraries and logistics.
- Liaise professionally with internal and external clients, building and maintaining strong working relationships.
- Support the AML process by coordinating tasks with Business Services Assistants, monitoring outstanding forms and liaising with the AML team.
- Manage billing activities, including running reports, raising bills and assisting with debtor management and client liaison.
- Prepare, format and finalise documents, including Letters of Engagement, reports, and presentations; also undertaking PDF manipulation.
- Support the central Marketing Team with administrative activities such as updating responses for events as required.
- Coach and mentor Business Support Assistants and provide flexible support or cover to team members to ensure work is completed to a high standard and within deadlines.
The team you will join is a collaborative, supportive group comprising an EA‑Team Lead, Executive Assistants, Personal Assistants and Business Support Assistants, all focused on delivering an excellent service to partners and clients.
Qualifications- Proven PA experience in a fast‑paced professional services setting.
- Excellent organisation and time management: you prioritise calmly, meet tight deadlines and keep actions moving.
- Confident communication and stakeholder skills: professional, personable and effective with people at all levels (including clients and their assistants).
- Sound judgement and problem solving: proactive, discreet and solutions focused, with empathy.
- High IT literacy: confident in Microsoft Word, Outlook, Excel and PowerPoint; comfortable with learning new software and systems.
- Attention to detail: excellent accuracy, grammar and written communication.
- Adaptability and initiative: able to work autonomously, flexible around peak periods and tailor your style to different working preferences.
