We are looking for a highly organized and proactive Executive Coordinator to manage the complex scheduling needs of multiple Vice Presidents. This role is responsible for efficient calendar management, meeting coordination, and scheduling logistics. The ideal candidate thrives in a fast‑paced environment, prioritizes effectively, and resolves conflicts proactively.
Responsibilities- Manage and optimize executives’ calendars by prioritizing meetings based on urgency and strategic relevance
- Coordinate daily, weekly, and monthly schedules across multiple stakeholders, proactively identifying and resolving conflicts to minimize disruptions
- Schedule and support internal and external meetings, including conference calls and video meetings, confirming all logistics (invites, locations, materials) are in place
- Handle last‑minute scheduling changes and confirm attendance as needed
- Manage domestic and international travel for customer visits, including itineraries, accommodations, and logistics
- Prepare, submit, and track expense reports in a timely and accurate manner
- Proficient in clear, professional communication with clients, teams, and executives while managing multiple calendars and scheduling requests across executives simultaneously, without sacrificing quality or attention to detail.
- Proficient in G Suite and scheduling tools.
- Consistently reliable in managing deadlines, maintaining punctuality, and completing tasks quickly.
- Handles sensitive information with discretion and maintains confidentiality in all matters.
- 1+ years of experience supporting senior leaders/executives.
- Experience in a corporate or high‑growth environment.
