Executive Assistant/Office Manager
Our firm provides alternative investment consulting services to large institutional investors including pension funds, endowments, foundations, and financial institutions. We are located in Marina del Rey, CA, New York, NY, and Chicago, IL.
We are looking to hire a professional to join our administrative support team.
This position is an ideal opportunity for an experienced executive level team member to be the point person for our Chicago, IL office. This is a newly created position supporting two managers. The ideal candidate will have broad experience in the administration of office procedures and processes and will have relevant experience with executive leadership.
- Greet visitors including scheduling, validations, and security clearance
- Answer phones, route calls, and work with MDR and NY in coordinated telephone coverage for all three offices.
- Conference room set-up and clean up
- Schedule conference rooms
- Order catering as needed for office and meetings
- Order office and kitchen supplies ensuring well stocked at all times
- Coordinate vendors for suite build-out to include software, hardware, security, communications, building work orders, etc.
- Print and binding for presentations
- Deliberate communication with home office in MDR for accounting and administrative costs and budgets
- Minor accounting duties
- Strong supportive assistance to senior management
- Managing the executives’ calendar, if necessary, including making appointments and prioritizing the most sensitive matters
Duties of the executive assistant include the above and any other tasks assigned in support of the Chicago, IL office and the company as a whole. In rare instances travel may be required. This position is 100% work in office.
Qualifications- Bachelor's degree strongly preferred
- 5-7 years’ experience as an executive assistant
- Experience in the financial sector a plus
- Ability to follow through and multi-task
- Strong written and verbal communication skills
