Office Administrator/ Coordinator
This full-time hybrid role as an Executive Assistant is based in Alexandria, VA, with the flexibility to work from home on occasion. The executive assistant will serve as a force multiplier for the founders across professional, personal, and family‑office domains. The core mandate is flow protection and execution—removing friction, filtering decisions, and ensuring ideas, commitments, and priorities move cleanly from intent to completion.
This role is not administrative in the traditional sense. It requires strong judgment, comfort with ambiguity, ownership mentality, and the ability to operate calmly inside a fast‑moving, multi‑entity ecosystem.
- Triage and manage inbound communication on behalf of the Principal
- Draft responses, bundle decisions, and/escalate only what truly requires attention
- Create concise daily/weekly decision briefs
- Apply reasonable assumptions to keep work moving without bottlenecks
- Own tasks and projects from “open” to “resolved”
- Track commitments across vendors, partners, and internal stakeholders
- Ensure deadlines, standards, and expectations are met without chasing
- Close loops consistently and proactively
- Help establish and run a lightweight weekly operating rhythm
- Coordinate across family office operations, personal and business bookkeeping touchpoints, scheduling and logistics across domains, and surface risks, slippage or inefficiencies early
- Support the Principal and, as needed, their spouse and affiliated entities
- Navigate personal, family, and business contexts with discretion and maturity
- Maintain clear boundaries while operating in close proximity
- Not a calendar‑only or task‑taking admin role
- Not a pure strategy or leadership role (initially)
- Not a role with rigid instructions or constant oversight
- Not a position for someone who needs heavy structure to perform
Salary will be aligned with experience, and promotion opportunities will be based upon demonstrated achievement within the role.
Qualifications- 5-7 years of experience as an executive assistant supporting senior leaders or managing complex operations
- 3+ years of experience managing and coordinating vendors
- Excellent communication skills, both verbal and written
- Organized and detail‑oriented with the ability丰лой manage multiple priorities effectively
- Proficiency in office software (e.g., Microsoft Office Suite) and general technical aptitude
- Ability to work independently and collaboratively in a hybrid work environment
- Professional demeanor and ability to handle sensitive and confidential information
