File Intake Coordinator (REMOTE)

This role sits at the heart of the client experience. Our Client is seeking a fully remote File Intake Coordinator who brings a warm, engaging, and naturally personable presence to every interaction. As the first point of contact, ძლ you will guide clients through the intake process with empathy, clarity, and professionalism, making people feel heard, supported, and confident from the very first conversation.

This role is ideal for someone who is genuinely client-focused, communicates with ease, and understands the importance of balancing compassion with attention to detail.   • Conduct and follow up on client intake including conducting initial client calls and scheduling meetings thereafter
  • Manage emails, correspondence, calendar entries, client meetings, court dates
  • Manage and improve the firm’s CRM and sales process
  • Liaise with clients and address client concerns with exceptional client service
  • Prepare and send straightforward correspondence
  • Manage the collection, organization, and review of client documents and information necessary for the preparation of the client’s case
  • Assume key role in managing the receipt of client information to ensure documents and information are received in a timely manner and saved in accordance with our internal document management protocols
  • Track the firm’s sales and client retention data
Qualifications
  • Minimum 2 years experience in an administrative, professional office and/or sales office setting
  • Exceptional customer service skills
  • Completion of a Legal program
  • Able to work collaboratively in a small team, as well as independently
  • Proficient in Microsoft Office (Outlook, Word, Excel) and willing to learn our billing and timekeeping software
  • Legal support background and/or membership in good standing큐 with the Law Clerks Association in Ontario (nice to have but not required for the role)
