We are seeking a highly organized, proactive, and discreet Executive Assistant to provide high-level administrative and operational support to senior executives in a fully remote environment. This role requires exceptional attention to detail, strong communication skills, and the ability to manage complex schedules, confidential information, and competing priorities with professionalism.
The ideal candidate thrives in a fast-paced remote setting and serves as a trusted partner to leadership by ensuring smooth daily operations and effective coordination across teams.
Key Responsibilities- Provide comprehensive administrative support to senior executives
- Manage complex calendars, scheduling meetings across time zones, and coordinating travel arrangements
- Prepare, review, and edit correspondence, reports, presentations, and internal documents
- Act as a liaison between executives, internal teams, and external stakeholders
- Organize and maintain digital files, records, and confidential information
- Track action items, deadlines, and follow-ups to ensure timely execution
- Coordinate virtual meetings, prepare agendas, take minutes, and distribute summaries
- Support onboarding, expense tracking, and administrative workflows
- Handle sensitive matters with a high level of confidentiality and discretion
- Assist with special projects and ad hoc administrative tasks as assigned
- Must currently reside in the United States
- Must possess a valid government-issued (e.g., "U.S. Passport", "Drivers License", or "State ")
- Bachelors degree in Business Administration or a related field (preferred but not required)
- Minimum of 3 years of experience as an Executive Assistant or in a senior administrative role
- Exceptional organizational, time-management, and multitasking skills
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office, Google Workspace, and virtual collaboration tools (Zoom, Teams, Slack)
- Ability to work independently and manage priorities in a remote environment
- Experience supporting C-level or senior leadership
- Familiarity with project coordination and operational workflows
- Experience working with distributed or remote teams
- Reliable high-speed internet connection
- Personal computer/laptop capable of supporting remote work tools
- Comfortable working with cloud-based systems and digital platforms
- Professional judgment and discretion
