6 months initially Overall Purpose of the Role
Join us at Barclays as a Team Assistant where you’ll support a Global Equity Research team who deliver actionable insights and innovative products to our clients. You will provide administrative support to the Marketing Coordinator and a number of Equity Research Analysts across the EMEA function. This will include managing the complex logistical requirements of multiple team members including areas such as diary management, travel booking, expenses, visa licences and Roadshow events.
Furthermore, you will act as a point of contact for any team related queries updating CRM systems and excel distribution lists as required.
- Managing complex travel/meeting schedules
- Ensuring all travel adheres to the T&E policy
- Arranging visas and licences where necessary
- Processing of all expenses in Concur within T&E guidelines and deadlines
- Working with the Roadshow team to ensure analyst marketing trips run smoothly
- Point person for the Events team regarding any team related activities
- Diary Management
- Timely logging of ad-hoc client meetings on a monthly basis
- Managing team call list
- Ensuring contacts, clients and interactions are accurately captured in the relevant systems
- Management and thorough understanding of team’s client/distributions lists
- Super user and first point of contact for all systems frequently used by the team
- Working closely with the Business Management team and Compliance to help ensure that all team activities are undertaken in accordance with firm guidelines and filtered through the correct channels for consultation and approval e.g. Gifts & Entertainment logging
- Facilitating ad hoc data requests from the team (Excel and Powerpoint)
- Ensure all calls are answered in a professional manner & where possible are acted upon proactively
- Raising all new Subscriptions, Market Data, IT requests and IT incidents on behalf of the team(s), troubleshooting and following through to resolution
- Team player;
Help to ensure there is reciprocal cover across the Research Assistant support group during times of absence. - Flexibility and willingness to help across sector teams when required.
Booking complex travel arrangements working within guidelines, often requiring adjustment from the traveller’s original request in order to be compliant. Must be able to provide alternative solutions proactively.
Stakeholder Management & Leadership Risk and Control ObjectiveEnsure that all activities and duties are carried out in full compliance with regulatory requirements, Enterprise Wide Risk Management Framework and internal Barclays Policies and Policy Standards.
Key Skills & Experience- Proven experience in travel booking (Concur system preferred as this is the system the team uses)
- Worked in a previous Team Assistant role
- Previous experience in a Financial Services Environment
- Proficient Microsoft Office skills (Word, Powerpoint, Excel, Outlook)
- Ability to work quickly, accurately and effectively during times of increased work flow
- Excellent communication skills both verbally and written with good attention to detail
- Effective time management skills
- Team Assistant experience (desirable)
- Hybrid working model: 3 days per week in the office and 2 days per week working from home
- Fast-paced, evolving environment with shifting priorities
- Hands-on, autonomous role with no direct reports
- Candidates must be adaptable, confident, and able to contribute immediately
