As a Senior Administrative Assistant within our Strategic Program Delivery Office (SPDO) team, you will coordinate with various groups within the SPDO organization, on various administrative duties to support our day-to-day operations. Your goal will be to prioritize and keep the team well organized with a large volume of requests and inquiries across the team. Your success will be highlighted through your ability to work collaboratively, communicate effectively, and deliver timely results.

- Perform various administrative duties in a timely, organized fashion. The duties are but not limited to: project support; set-up for new employees; preparation and formatting of reports and presentations; processing purchase requests, invoices and expense reports; scheduling and prioritizing appointments and document filing
- Prepare and distribute agendas and action items; ensure all stakeholders and documentation required are available. Follow-up on requests for information and any actions required for outstanding items
- Maintain a good understanding of the relationships between various business units and functions in the company, prepare reports, maintain informational documents and support/coordinate special projects
- Coordinate travel arrangements for Senior Leaders, Executives, team members, and external candidates
- Partner with other Administrative and Executive Assistants to support the broader business, align on priorities and improve processes
- Organize team events, and partner with Building Operations and IT for tech requirements (i.e. Booking a room, catering, visitor information)
- Complete other administrative support activities as required
- Excellent communication, both oral and written
- Excellent time management, organizational, and planning skills
- Strong interpersonal skills
- Proven leadership skills
- Action-oriented
- 3-5 years of experience in an Administrative or related role
- Post-secondary education in the field of business
- Strong knowledge of MS office applications, particularly Excel and Power Point
- Knowledge of Oracle, IQN and Inspyrus is considered an asset
- Bilingualism is an asset:
English and French
