Position: Virtual Healthcare Administrative Assistant (ABA Therapy) - EST Hours (Remote)

We are currently seeking an Administrative Assistant to play a critical support role within the operations team. This position ensures accurate system setup, efficient scheduling coordination, and reliable administrative processes. The role supports Registered Behavior Technicians (RBTs), Board Certified Behavior Analysts (BCBAs), and internal stakeholders by maintaining organised digital records and assisting with day‑to‑day administrative tasks in a fast‑paced healthcare environment.

PLEASE NOTE:
  • Working Hours: This role requires you to work EST Mon - Fri from 9am to 6pm EST (16h00 to 01h00 South African time - subject to change in accordance with daylight savings in the United States).
  • Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and the ability to support a wired Ethernet connection is mandatory. Applicants without a fixed fibre line cannot be considered.
  • Power Backup: A reliable power backup solution is required to manage load shedding and power outages
    . Applicants without a power backup cannot be considered.
  • Work Environment: This is a fully remote working role.
  • Public Holidays: You will be required to work on all South African public holidays (compensated as per BCEA).
Key Responsibilities:
  • Set up and maintain One Drive folders and structured file systems for new clients and internal use
  • Create, update, and maintain client and staff profiles within Central Reach
  • Coordinate and manage scheduling changes for RBTs and BCBAs
  • Perform basic payroll-related tasks, including PTO tracking and updates within payroll systems
  • Maintain accurate administrative records and documentation
  • Provide general administrative support to the operations and clinical teams as required
Required:
  • Familiarity with One Drive and digital file organization
  • Strong organizational and time‑management skills
  • Excellent written and verbal communication skills
  • High attention to detail with the ability to manage multiple tasks efficiently
Advantageous:
  • Proficiency in Central Reach (highly preferred)
  • Previous experience in an administrative role within healthcare, therapy, or clinical environments
  • Exposure to scheduling, payroll support, or operational coordination
