Operations Coordinator
DEPARTMENT:

REPORTS TO:
Executive Assistant to the VP of Operations
FLSA STATUS:
Hourly, Non-Exempt
Position Summary
Under the direction and leadership of the Executive Assistant, the Ops Coordinator is committed to providing quality customer service to all stakeholders at each academy and for its staff according to the mission, goals, and policies established by Great Hearts.
Duties & Responsibilities
* Assist the Ops Team in all aspects of project implementation as needed (i.e., F, F & E until new Procurement Dept is staffed, broadening the utility of the APP for the network etc.)
* Support the VP of Operations with contract analysis and management as needed
* Represent the Ops Team in inter-departmental meetings to support and facilitate communication and action between departments
* Track and maintain vendor contracts such as FF&E, Security, etc.
* Responsible for a variety of coordination and overall administrative duties to assist VP of Operations
* Independently maintain and update administrative policies and processes
* Maintain and update electronic files for Operations Team within a central repository - SharePoint library
* Support the VP of Operations on other projects and tasks (including calendar requests, Concur support, etc.)
* Assist in budget control for department leads
Qualifications, Competencies & Strengths
* High School Diploma or equivalent (bachelor's degree preferred)
* 2-3 years of Administrative and/or educational experience
* Ability to make quick & important operational related decisions
* Ability to work independently on assigned tasks
* Ability to implement and adjust procedures
* Ability to lift 25 - 50 lbs.
* Be able to manage projects and meet deadlines
* Must possess strong communication and interpersonal skills
* Demonstrate problem solving ability
Additional Requirements
* Type of fingerprint clearance:
Must possess or obtain valid Arizona Department of Public Safety IVP Level One fingerprint clearance card.
* Experience with contract negotiations, computer operating systems, purchasing
* Physical functions:
Requires but is not limited to standing, sitting, repetitious hand and body movements, bending, squatting, and reaching. May be required to move or position equipment up to 50 pounds.
* Travel required:
Required to travel locally to the various academies within the Phoenix Metro area. Must have reliable transportation. Valid Arizona driver license required.
