We are seeking a highly organised proactive and exceptionally discreet Executive Assistant to support a high-profile artist / public figure . The role requires a professional capable of navigating complex schedules coordinating multiple stakeholders and managing both operational and administrative priorities with precision.
Beyond operational excellence this role demands a thoughtful and genuinely caring individual who understands the importance of protecting the Principals time energy and well-being. The Executive Assistant will play a key role not only in structuring professional commitments but also in ensuring a healthy balance that preserves quality time with family and personal priorities.
Acting as a central point of coordination between the Personal Assistant accounting firm and external partners the Executive Assistant will ensure seamless execution of engagements transactions and logistical matters in a fast-paced environment.
Main Responsibilities Executive Support & Coordination- Serve as a strategic liaison between the Personal Assistant accounting firm and business partners.
- Ensure structured communication clear follow-ups and timely delivery of actions.
- Protect and optimise the Principals agenda by anticipating constraints preventing overload and ensuring a healthy balance between professional obligations and personal time including moments dedicated to family.
- Manage confidential correspondence and documentation with discretion.
- Organize and oversee the artists professional calendar meetings and commitments.
- Coordinate complex international and domestic travel arrangements: flights accommodation visas transfers logistics.
- Align travel itineraries with professional engagements and production schedules.
- Coordinate real estate-related matters: purchases sales rentals.
- Supervise property documentation and contracts.
- Support financial partners with valuation and optimization of personal assets (in collaboration with legal / accounting teams).
- Review structure and maintain agreements contracts and legal documentation.
- Prepare files keep records up to date and support due diligence processes.
- Provide operational support for media engagements public appearances and special projects.
- Assist in event coordination and logistics planning.
- Manage sensitive information with absolute discretion.
- Provide occasional private assistance when required.
- Fluent French & English (spoken and written) essential
- Spanish strong asset for international communication
- Proven experience as Executive Assistant Chief of Staff Assistant Project Coordinator or similar supporting C-level or high-profile individuals.
- Strong coordination abilities in multidisciplinary environments.
- Expertise in travel management and complex planning.
- Experience in real estate transactions administrative follow-up and external advisor coordination.
- Strong understanding of confidentiality / NDAs and professional integrity.
- Ability to work under pressure with resilience and composure.
- Excellent communication skills structured mindset and problem-solving orientation.
- High adaptability ability to anticipate needs and manage priorities.
- Lausanne-based available for a hybrid working model.
- Valid driving license required.
- Fully comfortable in Apple environment (Mac iPhone iPad).
- Mastery of Google Workspace (Drive Docs Calendar Sheets).
- Proficiency with project management and productivity tools.
- Comfortable with AI tools such as GPT for business use.
- Tech-savvy quickly adapts to new tools.
