POSITION SUMMARYWe are seeking a highly organized and reliable part-time Virtual Assistant to support the day-to-day operations of our therapy practice. This remote role will play a key part in ensuring smooth administrative workflows by managing emails, scheduling appointments, supporting client communication, and performing light bookkeeping tasks. The ideal candidate is detail-oriented, professional, and comfortable working independently in a confidential and compassionate environment.
This role requires excellent communication skills, a proactive mindset, and the ability to handle sensitive information with discretion.
- Manage and organize the therapist’s email inbox, ensuring timely responses and flagging important communications
- Schedule and confirm client appointments, send reminders, and reschedule sessions as needed
- Maintain accurate and up-to-date client records in scheduling and billing systems
- Perform light bookkeeping tasks, such as recording transactions, reconciling invoices, and preparing basic financial summaries
- Communicate with clients in a warm, professional, and confidential manner via phone, email, or messaging platforms
- Coordinate with third-party services (e.g., billing platforms, insurance portals) as necessary
- Monitor and restock virtual office supplies or digital resources, when applicable
- Support general administrative tasks and help streamline office operations
- Uphold strict confidentiality and compliance with HIPAA and other privacy regulations
- 2+ years of experience as a virtual assistant, administrative assistant, or in a similar support role
- Preferred familiarity with mental health, healthcare, or confidential client-facing environments
- Basic bookkeeping knowledge; experience with tools like Quick Books or similar is a plus
- Proficiency in Google Workspace (Gmail, Calendar, Drive) and comfort learning new software systems (e.g., scheduling or EHR platforms)
- Excellent written and verbal communication skills
- Strong organizational skills and attention to detail
- Ability to manage time effectively, prioritize tasks, and work independently
- Demonstrated ability to handle confidential information with professionalism and care
- High school diploma or equivalent required; relevant coursework or certification in administration or bookkeeping is a plus
Hourly Rate: $20 hourly
