Position Summary

We are seeking a highly self-motivated and tech‑savvy remote work expert to support HR administration, virtual operations, and executive assistance for our US team. This role is pivotal in ensuring our distributed workforce operates efficiently, compliantly, and cohesively. The ideal candidate is an exceptional communicator who thrives in a digital environment, proactively builds effective remote workflows, and serves as a critical connective hub for the organization.

Key Responsibilities
  • Provide high‑level remote administrative support to designated executives: manage complex digital calendars, schedule cross‑time‑zone meetings, and arrange domestic travel.
  • Prepare, edit, and format business documents, presentations, and reports remotely.
  • Assist executives with remote project management and task follow‑up using collaboration tools (e.g., Asana, Trello, ).
  • Handle highly sensitive and confidential information with the utmost discretion and professionalism.
  • Coordinate the full‑cycle remote recruitment process: post jobs, conduct initial virtual screenings, schedule video interviews, coordinate background checks, and send remote offer packages.
  • Manage remote employee onboarding/offboarding: prepare and ship welcome materials, coordinate virtual orientation, and ensure seamless integration into company culture and systems.
  • Accurately maintain digital employee records in the HRIS for a multi‑state US workforce, ensuring data compliance (familiarity with multi‑state employment regulations is a plus).
  • Serve as a primary point of contact for employee inquiries regarding policies, benefits, managing these interactions effectively remotely.
  • Assist in planning and executing virtual team‑building activities, online training sessions, and company‑wide meetings.
Virtual Administration & Operations
  • Act as the main remote operations contact for the US team, managing virtual office systems (e.g., mail distribution, software subscriptions, cloud file organization).
  • Coordinate vendor relationships, process online invoices, review expense reports, and assist with budget tracking.
  • Provide logistical support for virtual meetings and online events, including tech setup, agenda distribution, and note‑taking.
  • Manage procurement and shipment of supplies or company swag to remote employees.
Qualifications & Skills
  • Bachelor's degree in life science or related major.
  • Minimum of 3 years of progressive experience in office management, operations, or an executive assistant role with significant administrative responsibility.
  • Demonstrated experience supporting HR functions (e.g., recruitment, onboarding, records management).
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and office management tools.
  • Excellent organizational, communication (verbal and written), and interpersonal skills.
  • Proven ability to manage multiple projects and priorities with minimal supervision in a fast‑paced environment.
  • High level of integrity, judgment, and discretion when handling confidential business and personnel matters.
  • Preferred: experience working in a multi‑state or US‑focused role, with specific knowledge of US employment practices.
  • Fluency in both Chinese and English.
