Position: Faculty Affairs Administrator 1, Emergency Medicine (Hybrid Opportunity)
Overview

The role of Faculty Affairs Administrator 1, Emergency Medicine (Hybrid Opportunity) is based at Stanford in the School of Medicine, Department of Emergency Medicine. This is a hybrid (on-site and working from home) position subject to operational need. The department seeks a highly organized administrator to provide support within the Academic Affairs group.

We are seeking a highly organized Faculty Affairs Administrator 1 to provide support within a growing Academic Affairs group. The person will serve as a resource for the department on academic and faculty affairs policies and processes, assist faculty with appointment, reappointment, and promotion materials, and submit them in accordance with School of Medicine guidelines. The most critical aspect of this role is to ensure the planned work is completed accurately and timely.

The team member will independently handle a multitude of academic affairs tasks, including special projects.

Responsibilities
  • Gather information for search initiations, search waivers, reappointments, and promotions. Collect applications, and provide administrative support to search and review committees; provide advice on process requirements.
  • Post job announcements, and distribute other outreach materials to attract candidates.
  • Coordinate all logistical aspects of candidate visits, including arranging transportation and accommodations, scheduling meetings and interviews, and processing reimbursements.
  • Gather all components of the appointment/promotion form, and organize in compliance with guidelines.
  • Maintain records documenting search, recruitment, and appointment/promotion processes.
  • Assemble and draft materials for the appointment and promotion files.
  • Process and track approved activities (e.g., sabbaticals and other leaves, resignations, retirements, FTE changes), and maintain appropriate documentation and communication.
  • Assist in coordination of visa process, as needed.
  • Provide administrative support to the DFA and Associate DFA as needed.
  • Other duties may also be assigned.
Education & Experience (required)

Associate degree and one year of experience working with administrative processes, or combination of education and relevant experience.

Physical Requirements
  • Frequently perform desk-based computer tasks, frequently sitting, stand/walk, grasp lightly/fine manipulation.
  • Occasionally twist/bend/stoop/squat; reach/work above shoulders; grasp forcefully; use a telephone.
  • Rarely sort/file paperwork or parts, kneel/crawl, twist/bend/stoop/squat, lift/carry/push/pull objects that weigh up to 10 pounds.

Compensation and Benefits

The expected pay range for this position is $36.32 to $39.37 per hour. Pay ranges reflect Stanford's good faith estimate of pay for the position; final pay is determined based on factors such as scope and responsibilities, qualifications, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
