The Brooks Institute for Animal Rights Law and Policy is a think-and-do tank pursuing a paradigm shift in human responsibility towards, and value of, nonhuman animals by advancing animal law, animal policy, and related interdisciplinary studies.
Position Summary/How You Will Make a Difference
We are seeking a mission-aligned and highly skilled Executive and Program Assistantto provide critical support to leadership, with a focus on administrative assistance, event logistics, and project facilitation.
Success in this role involves ensuring the leadership team’s time and energy is spent on strategic priorities to advance the organization’s mission and goals, ultimately increasing our impact. You will provide administrative support for programs and events that equip the animal law community, and advance animal law academics, scholarship, and practice in a broadly collaborative environment.
This role requires not only strong operational skills, but also a high degree of emotional intelligence, including self-awareness and sound judgment. Above all, we are seeking the right synergistic fit for our team. You will do invaluable work towards the goal of effecting change for nonhuman animals.
PRIMARY RESPONSIBILITIES INCLUDE:
As part of the operations team, the Executive and Program Assistant will be responsible for:
- Leadership Support:
- Manage calendars, book travel, prepare detailed itineraries, and create expense reports
- Providing inbox management and personal assistance
- Proactively identify and anticipate the needs of leadership
- Administrative & Project Coordination:
- Manage the administrative functions of operations and programs
- Draft, proofread, and cite-check correspondence and organizational materials
- Manage data and documentation in project management and CRM systems
- Event & Meeting Management:
- Coordinate meeting scheduling and logistics, prepare agendas, and facilitate as needed
- Event preparation, onsite logistics, and post-event wrap-up
- Performing other duties as assigned
QUALIFICATIONS
- Bachelor’s degree (or higher) and 7+ years of experience supporting executive-level staff
- Exceptional organization, attention to detail, and follow-through
- Integrity, discernment, and discretion are vital qualities to possess
- Impeccable time management, adaptable, and remaining steady and composed when handling competing priorities
- A proactive, collaborative, and service-oriented approach to their work
- Committed to high-quality work; treats feedback as an opportunity for growth
- Excellent written and verbal communication skills
- Proficient in or eager to learn tools such as CRM and project management platforms
- Demonstrated commitment to the mission, values, and work of the Brooks Institute
- Experience with project management is desirable

WORK ENVIRONMENT
- Must be able to lift 20 pounds waist-high
- Will be required to sit for extended periods operating a computer
- Office environment has intermittent noise, normal in nature
- While we do not require applicants to be vegan/vegetarian, we request that Brooks Institute environments and functions to remain free from animal products (foods/textiles e.g. meat, eggs, dairy, fur, etc.)
- Evening and weekend work as required
- Travel within the U.S required (approximately 1-4 per year)
