Headquartered in downtown Los Angeles, AC Martin, Inc. is seeking a hands‑on and results‑driven individual for a Project Accountant role.
Position SummaryProvide project‑specific accounting support to ensure projects are set up and maintained in accordance with client agreements as well as established internal policies and procedures. The Project Accountant is the front‑line liaison with the client on all project‑related invoicing and billing procedures, as well as with the project manager regarding budgeting contract fees. Responsible for accurate project setup, facilitation, and distribution of billings, as well as financial assistance to project managers and project teams.
Preparation and analysis of weekly reports relating to budgets, projections, and contract billings, including resolving problems where necessary.
- Set up and maintenance of project budgets in accounting database with input from project managers.
- Conduct meetings with project managers and/or principals on at least a monthly basis to inquire on project status and update “estimates to complete” in Deltek (Company’s ERP system), where necessary. Identify project‑related issues to resolve timely.
- Monitor financial progress from project initiation through closeout by tracking budgets, financial projections through analysis of financial reports. This includes advising project managers of budgets exceeded by project, phases, and/or discipline.
- Ensure all required contract documentation is executed for clients and sub‑consultants and is entered into accounting database properly.
- Monitor sub‑consultant budgets and submit consultant invoices for processing to Accounts Payable.
- Assist project managers with identifying project differences in revenue projections, budgets, etc.
- Processing client billing reviews and invoices monthly.
- Collections contact with all clients with balances over 60‑days aged.
- Act as a point of contact with clients and sub‑consultants, as necessary.
- Maintenance and updating of various specific internal company reports.
- Provide ad‑hoc accounting reports to management team as requested.
- Assist with management of overall contract compliance (i.e., certificates of insurance, assist the Director of Contracts in facilitating sub‑consultant contracts), as needed and where applicable.
- Degree in business or accounting from an accredited college or university is preferred.
- Three to five years of work experience in Project Accounting, Client Billing, or Contract Administration, a portion of which is experience in A/E/C industry or service.
- Knowledge of accounting principles.
- Knowledge of MS Office Suite along with prior working knowledge of integrated accounting systems such as BST, Deltek, Oracle, etc., is required.
- Must have excellent organizational skills and a positive attitude, demonstrating a positive company image.
- Ability to collaborate effectively in a team environment.
- Demonstrated ability to exercise judgment, tact, and diplomacy in dealing with internal staff, vendors, contractors, and clients.
- Demonstrated self‑starter capable of taking initiative and requiring minimal supervision.
- Alternative work schedule of 40 hours per week based on a 4½‑day workweek.
- Hybrid schedule of 3 days in the office, 2 days working from home, and half‑day on Fridays.
