Advanced Medical Support Assistant – U.S. Department of Veterans Affairs

Pay

Base pay range: $45,863.00/yr – $59,621.00/yr. Actual compensation will be based on skills and experience.

Summary

The Advanced Medical Support Assistant (AMSA) works under the direct supervision of Assistant Chief – VA Care in the Community (VACC) and provides administrative support to the VACC Program. The AMSA administers work in conformance with all directives, guidelines, and local policies and procedures, and provides technical information and assistance concerning entitlements to medical benefits and related service programs.

Qualifications
  • Basic Requirements:
    • Citizenship:
      Citizen of the United States (non‑citizen appointments possible under VA Handbook 5005).
    • Experience:

      Six months of clerical, office, customer service, or other administrative work demonstrating the ability to acquire the required knowledge and skills.
    • Education:

      One year above high school.
    • Experience/Education Combination:
      Equivalent combination qualifies for entry level.
    • Certification:
      None required.
    • Grandfathering Provision:
      All existing MSAs in VHA who meet the qualification standard on the effective date are considered qualified for the title, series, and grade held.
    • Foreign

      Education:

      Education obtained outside the United States must be submitted to a credential interpretation organization and deemed at least equivalent to U.S. programs.
    • Physical Requirements:

      See VA Directive and Handbook 5019.
    • English Language Proficiency:
      Proficient in spoken and written English per VA Handbook 5005.
  • Specialized

    Experience:

    One year of experience equivalent to GS‑5 grade level.
  • Experience Examplescentes:
    • Operate computerized programs and systems to enter, modify, and retrieve sensitive medical and patient‑identifying information in electronic health records, scheduling systems, and reports.
    • Possess advanced knowledge of medical terminology sufficient to communicate staff instructions to patients.
    • Schedule medical appointments in a clinical setting.
    • Work independently in the accomplishment of a wide variety of duties, providing patient support.
    • Communicate effectively and professionally in person, electronically, and by telephone with internal and external customers.
    • Demonstrate advanced customer service skills to identify concerns and refer to appropriate staff.
  • Demonstrated Knowledge, Skills, and Abilities (KS Warum):
    • Organize work, set priorities, and delegate tasks to meet deadlines.
    • Communicate with individuals to obtain desired effect and ensure compliance with policies and regulations.
    • Provide staff development and training support.
    • Manage staffing requirements, prioritize and coordinate with staff to complete duties accurately and timely.
    • Follow up on pending issues and demonstrate understanding of impact of incomplete work.
    • Review and monitor data to ensure reports are complete and accurate.
  • Physical demands:
    Predominantly sedentary with walking, bending, standing, and carrying. Must pass pre‑employment examination.
Duties

  • Conduct reviews and reports related to community care activities.
  • Provide technical information and assistance concerning entitlement to medical benefits and related policies.
  • Maintain all tracking logs and input data accurately into VA systems and third‑party payor systems.

  • Schedule appointment information into the scheduling system.
  • Follow procedures to obtain medical records and documentation per VA policy.
  • Clear faxed medical records/documents daily and verify services performed against authorized services.
  • Scan a minimum number of medical records weekly.
  • Maintain spreadsheets and reports for tracking and productivity purposes to meet performance measures.
  • Annotate medical data systems to show proper follow‑up on consults that cannot meet all directives.
  • Utilize correct correspondence including letters and reports.
