A Brief Overview

Supports various administrative functions of Claims Department including handling mail, taking loss notices, recording of information, preparing claim related correspondence. Performs daily cash reconciliation, issues stop pays and reviews check/draft requests for adequate documentation. May operate check/draft printer.

What will you do?
  • MAIL:
    Sorts and processes incoming claim‑related correspondence matching correspondence to individual claims. Prepares correspondence for imaging, indexes, and sets into appropriate workflows. Handles return mail to determine if address is incorrect, change or update records as necessary and forwards mail to appropriate party. Receives and records certified, special delivery and other “tracked” mail.
  • LOSS NOTICES:
    Provides excellent level one customer service to agents, insureds, claimants, and others for claim reporting and inquiries. Gathers claim information from callers relating to the details of a first notice of loss or additional information on existing claims. Prepares initial narrative loss report from information provided. Follows established procedures to elevate claims meeting High Priority or Catastrophic criteria. Assigns Claim Number to new claims and sets up workflow task for the appropriate area for next steps in resolving claims.
  • CLAIM RECORD KEEPING:
    Enters information relating to claims into various internal and external systems for the purpose of recording necessary information for others to use or for compliance with outside obligations. Completes entries into various systems to establish the record of a new claim or to generate additional transactions related to a particular claim. Updates records as information changes or new information becomes available.
  • SPECIAL DOCUMENTS:
    Receives and processes new suits by providing copies to responsible individuals and recording in Suit Register. Handles Releases, Powers of Attorney, motor vehicle titles and other documents by recording them to appropriate files or individuals and updating related data. Refers all questionable documentation to Supervisor.
  • CLAIM CORRESPONDENCE SUPPORT:
    Supports claims operations relating to correspondence to Insureds, Claimants, Independent Adjusters attorneys and others. Prepares, images, and sends out routine correspondence as required or as directed by Examiners. Reviews non-digital documents and communications to determine the next steps to be performed with the information in the documents. Directs communication to appropriate area or individual.
  • FINANCIAL ADMINISTRATION:
    May review and approve or reject payee endorsements and prepare daily cash reconciliation for Company Finance unit. May issue stop payment directions to banks. Investigates reimbursements from vendors to determine whether proper amount was received raises concerns to others. Requests IRS Form W‑9 from vendors and cancels vendor authorization for Company when W‑9 not received.
  • CLAIM CHECKS AND DRAFTS:
    May review and handle checks payable to Company by recording in software, prepares incoming check receipts and copies and routs to appropriate individuals. May operate check/draft printer. Initially determines whether documentation in Claims file authorizes the release of a check or draft. Refers all questionable cases to Supervisor.
  • OTHER:
    Maintains contact information for affiliated companies, Third‑Party Administrators, Managing General Agents, and others. Performs related duties as situation dictates such as daily assignments and project work from others.
Education

High school diploma or GED or equivalent work experience and additional specialized training equivalent to one to three years' practical trades training.

Experience

Two or more years work experience.
