The role is part of the Workplace Experience function. The Coordinator is the welcoming face and administrative backbone of the corporate office in Omaha, NE, responsible for front desk duties, extensive client-facing interactions, and supporting vendors, visitors, and internal teams to create a positive and efficient workplace environment.

What You’ll Do
  • First point of contact for all entrants; greet visitors, issue visitor and parking passes, and follow security protocols.

  • Provide extensive customer service to external and internal stakeholders.

  • Manage a variety of front desk operations and administrative tasks with precision and efficiency.

  • Assist with the upcoming office relocation project and transition to a new premises.

  • Answer the phone professionally, create presentations, and speak to groups of various sizes.

  • Prioritize tasks effectively and manage multiple demands with strong communication.

  • Demonstrate adaptability in a fast-paced environment where priorities shift.

  • Identify tasks proactively during downtime and take ownership of maintaining an optimal office space.

  • Set up and troubleshoot projectors and other AV equipment for meetings and presentations.

  • Assist with setup and preparation of meeting rooms for events, including training classes and all-hands meetings.

  • Manage and maintain the meeting room calendar for efficient scheduling and utilization.

  • Rearrange meeting room furniture as needed for different event requirements (lifting up to 50 lbs).

  • Monitor and maintain office common areas; check coffee machines and perform related tasks.

  • Oversee stock levels of office supplies and submit replenishment requests.

  • Use Microsoft Office Suite (Outlook, Word, Excel) and Google Suite to track information and perform duties.

  • Coordinate recreational, dining, and business activities as requested.

  • Manage janitorial or maintenance work orders; coordinate and execute workplace services including mail, office supplies, and onboarding.

  • Acknowledge inquiries or complaints from employees, guests, and coworkers; provide solutions with professional customer service.

  • Organize and manage on-site events, including securing space, setup/teardown, and delivery of supplies.

  • Follow property-specific security and emergency procedures and notify appropriate parties to ensure safety.

  • Coordinate with vendors who supply services or goods to the workplace.

  • Explain detailed or complicated information within the team and follow manager directions.

  • Adhere to clearly defined duties and procedures; solve straightforward problems using existing processes with limited discretion.

What You’ll Need
  • High School Diploma or GED with up to 4 years of job-related experience.

  • Ability to follow basic work routines and standards.

  • Strong communication skills to exchange straightforward information.

  • Working knowledge of Microsoft Office products (Word, Excel, Outlook, etc.).

  • Strong organizational skills with an inquisitive mindset.
