OverviewThe Private Duty Scheduler is the heartbeat of daily operations — balancing the needs of clients, nurses, and caregivers to ensure every shift is filled and every client receives the care they deserve. Managing over 2,000 client hours per week, this position requires someone who is strategic, organized, and calm under pressure. The ideal candidate sees scheduling as a strategic game of problem-solving, where success means no client goes without care.

Schedule:
Build, manage, and adjust daily/weekly schedules to fill all open shifts across 2,000+ client hours per week. - Prioritize with
Purpose:
Triage incoming requests, call-offs, and last-minute changes with a strong sense of urgency and sound judgment. - Communicate Constantly: Act as the primary contact for field staff and clients regarding scheduling changes, confirmations, and shift details.
- Solve the Puzzle: Strategically match caregivers and nurses to clients based on skills, preferences, and availability to ensure strong client-caregiver compatibility.
- Stay Ahead of Issues: Proactively monitor schedules to anticipate potential gaps or conflicts before they occur.
- Collaborate Closely: Work with the Branch Manager, Clinical Director, and Recruiting team to align staffing levels with client demand.
- Support Coverage: Step in for on-call scheduling rotations and assist in crisis coverage in the field when needed.
- Track and Improve: Monitor metrics such as unfilled shifts, employee utilization, and client satisfaction to continuously improve performance.
- Experience: 1–2 years in a fast-paced scheduling, staffing, or coordination role (home care or healthcare strongly preferred).
- Mindset: Strategic, puzzle-oriented thinker who thrives on bringing order to chaos.
- Skills: Exceptional multitasking, time management, and prioritization abilities.
- Communication: Confident and professional phone presence — comfortable making dozens of calls daily.
- Technology: Proficient with Microsoft Office and scheduling platforms.
- Personality: Positive, proactive, and relentless about finding solutions to keep care seamless.
- Requirements: Valid driver’s license, reliable transportation, and insurance.
