AboutThe Role
Video Reality is seeking a highly organized and detail‑oriented Service & Installation Department Assistant to support our fast‑paced operations team. In this role, you will directly support technicians, managers, and customers by coordinating scheduling, preparing project documentation, ensuring accurate job information, and helping keep our service and installation workflow running smoothly.
Primary Responsibilities- Coordinate technician schedules and ensure job assignments are accurately reflected in the Dispatch Portal.
- Serve as the main point of contact for clients to confirm service and installation details and logistics.
- Prepare required documents and manage project resources, including project folders, product and hardware, and project completion documentation.
- Update CRM & ERP systems including ticket statuses, project notes, and ensure all parts, time entries, and completion details are accurate.
- Schedule equipment resources such as trailers, lifts, and rented equipment.
- Maintain inventory of stocked hardware and parts.
- Manage parts and product returns, RMAs, change order products, added parts and products.
- Manage, verify, and modify technician time entries on services, installations, and projects.
- Contact customers for completion signoffs and assist with gathering post‑project feedback.
- Assist with van inventory, cleaning, and required maintenance coordination.
- Attend weekly project meetings and provide relative support to the service and installation team.
- Stage incoming product for service, installation, and projects in warehouse.
Must be 21 years of age or older
Must be Commercial Auto Policy Insurable for Driving Company Vans
Must be clear of Criminal Background History and Sex Offender Registry due to high volume of Educational & site work
