Bear Creek Homes is a design‑driven luxury residential builder focused on creating homes that feel as good to live in as they look. As we continue to grow, we are seeking an Executive Director of Operations to serve as the operational leader and integrator of the business—owning systems, information flow, and execution across clients, designers, builders, and leadership.

This is a senior, high‑trust role for a disciplined operator who thrives in complexity, brings clarity to moving parts, and ensures the business runs smoothly behind the scenes while leadership focuses on vision and growth.

The Role

The Executive Director of Operations functions as a right‑hand partner to leadership and the central point of coordination across the company. You will design and own operational systems, manage information flow, elevate client experience, and ensure projects are properly prepared before execution.

This role blends strategic thinking with hands‑on execution and requires strong judgment, organization, and follow‑through.

Key Responsibilities Operational Leadership
  • Own day‑to‑day operational flow across client intake, design, pre‑construction, permitting, and field release
  • Translate leadership priorities into clear plans, timelines, and execution
  • Anticipate operational issues and resolve them before they impact schedule, cost, or client experience
Executive Coordination
  • Manage executive calendars, meeting schedules, agendas, and follow‑ups
  • Organize, prioritize, and manage professional correspondence and information flow
  • Ensure critical items are tracked, communicated, and completed
Client Experience & Communication
  • Serve as the primary operational point of contact for clients
  • Maintain consistent, proactive communication throughout the design and build process
  • Ensure client information is accurate, documented, and accessible
Systems & CRM Development
  • Design, implement, and maintain a centralized CRM system
  • Organize client data, project status, communication history, and milestones
  • Build repeatable, scalable systems that reduce friction and reliance on institutional knowledge
  • Ensure all contracts, approvals, selections, documentation, and permits are complete before projects enter the field
  • Track and manage permitting processes and timelines
Cross‑Team Integration
  • Act as the connective “glue” between client information, designer input, and builder execution
  • Ensure clarity, alignment, and accountability across all parties
  • Reduce rework and miscommunication
Marketing & Brand Support
  • Coordinate advertising and marketing initiatives
  • Oversee website content accuracy, organization, and brand alignment

  • Projects enter the field fully prepared and organized
  • Clients experience clarity, confidence, and proactive communication
  • Leadership is freed from operational bottlenecks
  • Systems are documented, efficient, and scalable

Qualifications
  • Strong operational leadership and systems‑thinking skills
  • Excellent written and verbal communication
  • High attention to detail with the ability to manage multiple priorities
  • Confidence coordinating across clients, designers, and builders
  • Experience in operations, project coordination, construction, real estate, design, or a related field preferred
  • CRM experience strongly preferred
  • Salary: $ annually + bonus (salaried)
