Patient Access Specialist M-F 9:00am-1:00pm (67748)
Variety Care is seeking a Patient Access Specialist to assist patients in scheduling and accessing services across our clinics. This position reports to the Patient Access Supervisor and requires excellent customer service, telephone etiquette, and proficiency with EPIC EMR.

Under direction of the Patient Access Supervisor, the Specialist will schedule and provide assistance to patients, answer telephones promptly, facilitate appointments and telehealth services, and communicate with care teams to support efficient delivery of care. The role also includes documentation in EPIC, compliance with HIPAA, and upholding office equipment function.
Primary Duties and Responsibilities- Provide excellent customer service and professional telephone etiquette.
- Use active listening and personalized service to meet patient needs.
- Manage all incoming telephone calls as the first point of contact.
- Consistently meet or exceed performance measures.
- Proficiently use EPIC scheduling and Patient Access workflows.
- Utilize screening tools such as Symptom Screener for patient acuity.
- Attend employee meetings and staff trainings for continuous improvement.
- Obtain accurate required information/documentation from patients at time of call.
- Use Patient Access LEADS for coaching and training.
- Follow HIPAA guidelines and OCHS Privacy policy.
- Ensure office equipment functions properly and report issues.
- Handle patient/specialty complaints and seek manager assistance when necessary.
- Demonstrate integrity, ethical conduct, and strong judgment.
- Support Variety Care’s accreditation as a Patient Centered Medical Home.
- Perform other duties as assigned.
- Capable of lifting 25 pounds.
- Able to sit for long periods.
- High School Diploma or GED.
- Computer experience and data entry proficiency.
- Direct experience in a customer service role with the public (retail or phone).
- Expert communication and listening skills.
- Experience with confidential information.
- Excellent organizational skills – prioritize work in a fast‑moving environment.
- Strong conflict‑resolution and empathy abilities.
- Medical Assistant experience.
- Experience with direct patient care.
- Bilingual (Spanish/English).
- Background knowledge of a medical environment.
- Knowledge of medical terminology.
- Tele‑marketing or call center experience.
- Experience with OCHIN/EPIC.
- Patient Service Representative experience.
- Patient Access Specialist experience.
