Work Days: 242-High School

FTE: 7.5 hours per day

High School Registrar

Position Summary

Responsible for the student enrollment and withdrawal process and the retention and upkeep of pertinent student records.

Essential Duties
  • Supports families in enrolling students, including verifying required documents and requesting student transfers
  • Maintains student information including student documents, discipline files, records, and transcripts, and issues records for current students requested by students, parents, guardians, and authorized agencies such as the Department of Human Services, law enforcement, and other legal entities.
  • Works with the district Legal office when attorneys request current student records
  • Verifies student enrollments and withdrawals, requests and receives new student records, and forwards former student records to schools outside the district within 3 business days of receipt of the request
  • Prepares local and state reports during the year and submits local and state end-of-the-year reports from the Student Information System such as student gap scheduler, absent before present, drop out, exit codes, eligibility, district ownership wizard, and others at the request of the administrator
  • Forwards transcripts to postsecondary institutions and completes forms as requested by students
  • Coordinates with administrators, counselors, attendance personnel, nurses, and other district personnel to document student information, such as transcribing new student grade history, concurrent enrollment grades, additional graduation requirements, student lists, No Credit status courses for students based on attendance as directed by the principal, and other student legal, personal, and transition needs, including following up on student IC flags and adding those such as custody, health, and verify contact information.
  • Adheres to the federal Family Educational Rights and Privacy Act (FERPA) in protecting parent, guardian, and student rights to receive and disclose information in education records
  • Complete all yearly Safety Training requirements
  • Performs various duties including answering phones, greeting and screening visitors, making copies, etc.
  • Other duties as assigned within the compensation schedule by the school-level supervisor
Job Specifications

Minimum Qualifications (Knowledge, Skills, And Abilities Required)

  • High school diploma or GED required PLUS one of the following
    • Associate degree or higher
    • Completed at least two (2) years (48 credit hours) of study at an institution of higher education
    • Passed the OGET
    • Passed the ETS Parapro Assessment (with a score of 455 or better) or the Work Keys Assessment (with a score of 4 or better on all three parts)
  • Bilingual interpretation and translation skills are preferred.
  • Considerable knowledge of acceptable record-keeping procedures.
  • Exhibits a high degree of attention to detail and accuracy.
  • Ability to exercise initiative and sound judgment, particularly in handling student records.
  • Ability to communicate effectively and work well with others.
  • Ability to type and use computers, adding machines, calculators, and other office equipment.
  • Willingness to attend training provided and perform work according to established procedures or guidelines.
