Office Administrator/ Coordinator, Data Entry
What You Will Do
Provide entry level of administrative support related to fleet management. Maintain department records including the following areas utilizing existing procedures to solve routine problems with limited discretion:
- Renewals and registrations
- Vehicle database
- Mileage records and engine hour usage
- PTO meter usage
- Fuel Usage
Use accounting invoicing system and credit card statement system to review, reconcile, and code prior to submitting for approval as well as provide time entry support. Utilize multiple systems to research, compile, and compose correspondence and reports from written and/or verbal instructions including:
- Employee/vendor information
- Toll Tag Transponders
- Vehicle/Drive Safety Program
- Approval of Estimated Repairs
- Vendor Tire Contracts
- Meter Corrections
Regular and reliable attendance is required in performance of job. Employee may perform additional responsibilities as assigned.
What You Will NeedPreferred Associate's Degree or equivalent job-related experience. Working knowledge of fleet guidelines. Knowledge of applicable laws and regulations governing vehicle license and registration. Demonstrated ability in use and function of office equipment applicable to position including computers, photocopiers, facsimiles, and applicable software. Working knowledge of company's policies, procedures, and use of terminology applicable to position. Knowledge and/or training including:
Word processing, spreadsheet, and presentation software such as Microsoft Word, Excel, and PowerPoint. Maintain physical and/or electronic filing systems. Handling confidential and/or sensitive information. Planning conferences and meetings. Generally accepted standards for grammar and punctuation. Working knowledge reading and interpreting various types of manuals, forms, publications and reports. Experience interacting and communicating effectively. Experience composing and preparing correspondence and demonstrated ability to run reports.
Read and write fluently in English. Minimum Applicable driver's license. Requires travel to field locations as well as operating company vehicles. Operate office tools and equipment required. Communicate and exchange verbal and written information or instructions. Visual abilities to perform job responsibilities.
