Location: Westerville

  • Schedule - Shift Regular Full Time - Opening Shift

Position Summary: Assists physicians and staff in coordinating patient care. Functions as primary liaison between patients, staff, and physicians.

Responsibilities/Accountabilities:

Clinic
  • Assists surgeon during office hours by facilitating patient flow, checks patients out and schedules follow up appointments and ensures that no patient is neglected or delayed unreasonably.
  • Provides patient education related to treatment plan.
  • Various clerical duties including copying, faxing, scanning and filing patient documentation as needed.
  • Communicates changes to clinic schedule as needed.
  • Responds to patient concerns or questions in a helpful and objective manner involving physician, mid-level, or supervisor as appropriate.
  • Coordinates with front desk/registration and clinical team in assisting with patient visit, flow, etc. Helps facilitate rescheduling of appointments when necessary if physician is running behind.
  • Other duties as assigned in support of providers.
Administrative
  • Books surgery and completes all associated surgery paperwork, prepares consents, etc.
  • Obtains insurance pre-certification as needed for diagnostic procedures, treatment, medication, or surgery.
  • Schedules, cancels and reschedules all appointments and testing for patients.
  • Assures that any special surgical instruments/devices or DME have been ordered for surgery and post op care.
  • Sends completed pre-admission testing to appropriate surgery location prior to patient surgery.
  • Prepares x-rays and other patient information for doctor to take to surgery.
  • Completes chart preparations to meet physician preferences/specifications, including but not limited to printing documentation from hospital, printing images, and scanning documentation into EMR
  • Responds timely to various communications from providers, patients, peers and surgery center or hospital staff.
  • Completes disability forms or other documents requested by patients, reviewing with physicians as needed.
  • Works with Patient Accounts department to facilitate accurate and timely billing, including but not limited to ensure that charges are entered, e-bills are complete, and/or assist with resolution of any missing information or answering questions as needed.
  • May provide coverage for vacation/sick calls for other team members.
  • Places prescription refill orders at direction of physician/mid-level.
  • Updates and maintains patient documentation in the EMR system.
Teamwork
  • Works cooperatively with coworkers, providers, and management.
  • Shares knowledge and insights with co-workers in a constructive manner.
  • Willingly provides coverage to department, staying beyond scheduled ending time when clinic schedule demands it, volunteering to cover time off or unexpected absences, maintaining workflow in department without direct supervision.
  • Addresses conflicts with person directly before involving manager or uninvolved peers.
  • Is considerate of others with regard to taking breaks or meal periods, use of computer and telephone, and noise in department.

  • Knows and complies with policies and procedures as enumerated in the Orthopedic One Employee Handbook and policies and procedures documents.
  • Provides assistance and support to leadership in implementing policies and procedures as necessary.
  • Actively participates in training, and conducting day to day work activity by adhering to all policies and procedures as enumerated in compliance and risk management programs.
Education, Experience, and Certification/Licensure Required

A high school diploma/GED required. Previous experience in a medical office setting required.
