Position Summary: Responsible for accurately and efficiently routing incoming telephone calls and providing clerical support to the Patient Relations department.
Responsibilities- Answer a high volume of incoming calls for the orthopedic practice.
- Open and close the switchboard following established procedures.
- Accurately assess callers’ needs to direct the calls to the most appropriate contact (i.e., scheduling, case management, billing, clinic staff, or other locations).
- Identify calls that need immediate attention and use paging options to locate clinical staff or physicians.
- Scan patient documentation into EMR and route incoming faxes.
- Assist the Scheduling department with tasks such as labeling referrals and processing referral response letters.
- Perform other administrative or clerical duties in support of the Patient Relations department.
- Provide screening of Orthopedic One patients, visitors, and associates per the Contagious Disease Symptom and Screening P&P, including completing symptom screening forms, taking vitals, dispensing personal protective equipment, and coordinating care with provider input.
- Work cooperatively with coworkers, providers, and management.
- Share knowledge and insights constructively with co‑workers.
- Provide coverage as needed, staying beyond scheduled time when the clinic schedule demands it and volunteering to cover absences, maintaining workflow without direct supervision.
- Address conflicts directly before involving management or uninvolved peers.
- Be considerate of others regarding breaks, meal periods, computer and telephone use, and noise in the department.
- Know and comply with policies and procedures in the Orthopedic One Employee Handbook and related documents.
- Assist leadership in implementing policies and procedures as necessary.
- Actively participate in training and adhere to all policies and procedures in compliance and risk management programs.
High School Diploma or equivalent required. Prior multi‑line switchboard experience desired, preferably in a health care setting. Customer service experience and basic computer skills required.
