Full-time, onsite position;
Monday‑Friday 8:30 am to 5:00 pm.
$50,000.00 / yr – $60,000.00 / yr.
Position SummaryThe Bid Specialist is integral to the success of Midwest Tape‑hoopla. The role involves identifying Bid/RFP opportunities, conducting thorough research on customer data, and overseeing the project management of Bid/RFPs issued by libraries.
Primary Duties and Responsibilities- Understand and interpret the requirements of bid documents and manage all aspects of the bid process.
- Respond to and complete all bid/RFPs as they come in through various libraries and Bid services.
- Work with accounting, marketing, sales, and legal to provide succinct and beneficial responses to all bid requests.
- Compile comprehensive bid documents.
- Follow‑up with all open bid opportunities to ensure that responses were completed as directed.
- Manage ongoing opportunities in Salesforce.
- Track bid statuses and outcomes.
- Provide reporting as needed.
- Manage multiple bids simultaneously under tight deadlines.
- Demonstrate a thorough understanding of contract terms and effectively manage contracts.
- Strong project management skills.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Proficiency with Microsoft Office Suite.
- Excellent organizational skills.
- Excellent follow‑up and follow‑through skills.

- Strong analytical and problem‑solving abilities.
- Website navigation experience (City/County/State).
- Bachelor’s degree in Business, Marketing, Sales or a related field, or equivalent experience.
- 2–4 years in bid management or a similar role.
- Experience with Loopio or similar bid software, Salesforce.
- 2 years of project management experience.
- Regularly sit for extended periods of time.
- Perform repetitive motion‑type tasks.
- Must be physically present for meetings, presentations, and training.
- Ability to work on‑site in a team environment.
