YOUR POSITION WITH TNC:The Executive Coordinator & Trustee Liaison will be responsible for providing direct administrative support to two senior leaders in California and serve as the liaison to the California Board of Trustees. The preferred location for this position is the SF Bay Area, however all home or TNC offices based in CA will be considered.
ESSENTIAL FUNCTIONS:The Executive Coordinator & Trustee Liaison will perform a variety of high-level administrative tasks to support two senior leaders in California that oversee Conservation Programs and Business Operations. This may include calendar management, drafting correspondence, travel arrangements, meeting and special events logistics.
In addition, this position serves as Trustee liaison for the chapter. Our Trustees are some of our most loyal and generous supporters and advisors. They span industries but share our passion for solving problems for people and nature. The Trustee liaison manages a complex workload to prepare for and run three annual Board meetings, coordinate Board Committees, manage the nominating and governance processes, and provide excellent service to make sure the Trustees’ experience with the Conservancy is flawless.
Part of an excellent Trustee experience is the development of a suite of high-quality materials that adhere to TNC’s brand standards and style guidelines. For each meeting, this position will project manage the creation of pre-reading materials, PowerPoint presentations, and post-meeting materials, including taking accurate and clear minutes. This provides an opportunity to work directly with conservation teams across land, water, oceans and climate who are solving critical conservation challenges, as well as key partners in marketing and development, making this position one of the most wide-reaching in the chapter.
The Executive Coordinator will develop extensive knowledge of policies and procedures. They will adapt processes and implement recommended practices in order to improve effectiveness. They will communicate on behalf of their supervisor and will have substantial contact with stakeholders, including members of the Board of Trustees, all levels of staff, donors, volunteers, vendors, and business relations. They will take on additional duties to enhance the work of the team.
Such duties may include, but are not limited to, project management of projects within the scope of the leaders they support, developing documentation, and/or enhancing the systems and tools used by the teams.
- Act independently within broad program goals to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems; work is diversified and may not always fall under established practices and guidelines;
- Work within scope of program’s strategic goals;
- Ensure compliance with Conservancy policies and procedures, and external (donor/legal/IRS) requirements; decisions may bind the organization financially or legally;
- Conduct purchasing, processing invoices and transfers, negotiating and contracting with vendors;
- Participate in budget preparation;
- Maintain confidentiality of frequently sensitive and emotionally-charged information;
- Manage projects with several variables, set realistic deadlines, manage a timeline, and ensure accountability.
- May participate in complex negotiations;
- Provide input through project teams for the development and implementation of new initiatives or the improvement of existing programs;
- Travel throughout California and work flexible hours, as needed; and
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain
