As a Facilities Coordinator you support the Plant Operations Maintenance team in a hospital environment. Your responsibilities include planning, prioritizing, and controlling computerized maintenance, construction, financial, and office operations. You will collaborate cross‑functionally and contribute to high‑performance outcomes.
Responsibilities- Prepare, set up, and maintain computerized accounting of day‑to‑day operating costs, including utilities, labor, and projects.
- Manage and oversee all regulatory compliance documentation.
- Maintain the computerized maintenance management system and all other departmental data, hardware, and software systems.
- Assist in entering and managing invoices, purchase orders, and other financial data.
- Set up, audit, and maintain office facilities—warehouse, blueprint index, manufacturer library, POM filing system, and all other maintenance department records.
- Audit, research, gather data, and prepare reports on costs, quality assurance, and day‑to‑day operations.
- Supervise office staff and other personnel as assigned by the Director.
- Monitor work performance and prepare or review performance evaluations for assigned personnel.
- Assist in training, orientation, and scheduling of employees.
- Ensure data entry in all systems is up‑to‑date and accurate.
- Submit ideas for continuous quality improvement.
- Take minutes and participate in committees as needed.
- Bachelor’s Degree preferred; high school diploma required.
- Effective written and oral communication skills.
- Strong multitasking, prioritization, and organizational skills.
- Demonstrated initiative, responsibility, flexibility, and leadership.
- Detailed knowledge of contract administration and office procedures.
- Ability to meet established goals and objectives.
- Proficiency in Windows‑based office software, especially Microsoft Excel.
- Previous Facilities Management experience preferred.
