The Administrative Assistant manages the office in a highly professional manner in full accordance with prescribed Singing River Health System policies and procedures. They are responsible for completing clerical/administrative duties, as well as organizing and managing workflows, agendas, and calendars. The Administrative Assistant must handle all matters confidentially, display a pleasant demeanor, and work with people in a tactful, diplomatic manner.
They must be able to work under pressure to meet deadlines, manage multiple tasks, and possess excellent written communication skills including writing, editing, and transcription of dictated materials.
- Complete clerical/administrative duties and organize workflows, agendas, and calendars.
- Manage office operations in accordance with Singing River Health System policies and procedures.
- Handle confidential matters and communicate professionally with staff and visitors.
- Support coordination of meetings and related documentation as needed.
- High school graduate or equivalent required. Two (2) years of courses in Secretarial Science or Business Education preferred.

- Must have at least two (2) years’ experience in an office assistant or secretarial position within the last four (4) years. Office manager experience preferred.

Physical DemandsWork is moderately active: involves sitting with frequent movement about the office and facility, and travel to another facility within the SRHS service area. Requires lifting, carrying, pushing, or pulling objects as needed. May involve exposure to body fluids, sputum, and tissues, which may carry the hazard of infectious disease. Repetitive motions of wrists, hands, and fingers while using standard office equipment;
close visual acuity and ability to shift gaze between a computer monitor and printed materials. Ability to be active for extended periods and to work schedules that may change to meet hospital needs.
Must demonstrate keen mental faculties, decision-making abilities, and superior communication skills. Ability to work under pressure and meet deadlines. Attention to detail and the ability to multitask in complex situations. Ability to maintain collaborative and respectful working relationships within SRHS and with other organizations.
Special DemandsSuperior customer service skills and professional etiquette. Proficient computer skills (keyboard proficiency) and familiarity with MS Outlook and Word, as well as other office technology (telephone, fax, etc.).
