Description

We are seeking an organized and detail-oriented Banquets Operations Coordinato
r to join our dynamic team. The successful candidate will play a key role in coordinating and executing banquet events, ensuring a seamless and exceptional experience for clients and guests. This position requires excellent organizational skills, a passion for event planning, and strong interpersonal abilities.

Primary Responsibilities
  • Coordinate the planning and execution of banquet events, including weddings, corporate meetings, and other special occasions.
  • Serve as the primary point of contact for clients, working closely with them to understand their needs and ensure their event vision is realized.
  • Liaise with chefs, food and beverage staff, and other departments to ensure timely setup, service, and breakdown of events.
  • Manage event logistics, including room layouts, seating arrangements, audiovisual needs, and catering requirements.
  • Maintain a detailed schedule of events and ensure all team members are informed and prepared.
  • Ensure compliance with health and safety regulations and any relevant legal requirements.
  • Assist in budget preparation, monitoring expenses, and ensuring cost-effective use of resources.
  • Handle last-minute changes or issues, ensuring event adjustments are communicated and smoothly implemented.
  • Identify areas for improvement and enhance client satisfaction.
  • Support the Banquets Manager in developing marketing strategies to attract new clientele and increase event bookings.
  • Administrative Support:
    Assist the Banquet Manager and team with day-to-day administrative tasks, including scheduling meetings, preparing and distributing correspondence, and maintaining records.
  • Financial Administration:
    Assist in budgeting and expense tracking for banquet events.
  • Prepare invoices and process payments in coordination with the finance department.

Physical Requirements
  • Must be able to lift, push, pull, and carry a weight of 25lbs.
  • Must be able to work walking and or standing continuously for 8 hours.
  • Associate may have to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl.
  • Associates are often required to sit and use his or her hands and fingers to handle or feel.
  • Vision abilities required by this job include close vision.
  • Associates must talk and hear.
Qualifications, Education, Experience,

Skills and Abilities
  • Proven experience in event coordination or hospitality industry.
  • Excellent organizational and multitasking skills, with the ability to work effectively under pressure and within tight deadlines.
  • Strong communication and interpersonal skills to interact professionally with clients, vendors, and team members.
  • Proficiency in computer systems and event management software.
  • Flexibility to work evenings, weekends, and holidays as needed.
