ADMINISTRATIVE ASSISTANT VII – BLDG.
RESPONSIBLE TO: Building Principal
JOB GOALS: To assure the smooth and efficient operation of the School Office so as to provide the maximum positive impact on the education of children.
Qualifications- Be at least 18 years of age and hold a high school diploma or equivalent diploma and satisfactory pre-employment skill test score. Post-secondary secretarial or office management training is desirable.
- Two years related experience.
- Meets all mandated health requirements.
- Documentation of a clear criminal record.
- Knowledge of office procedures and methods including telephone communications, office systems and record keeping.
- Knowledge of business communication, including style and format of letters, memoranda, minutes and reports.
- Skill to use a personal computer and district productivity software applications.
- Skill to type 60 words per minute.
- Ability to establish priorities, work independently and proceed with objectives without supervision.
- Ability to handle and resolve recurring problems.
- Greets public and serves as building receptionist for school community.
- Demonstrates human relation skills and possesses excellent communication skills.
- Upholds board policies and follows administrative procedures.
- Obtain training and maintenance of all aspects of student registration, attendance and discipline in the student information program.
- Produce and maintain appropriate building reports to the Superintendent’s and Treasurer’s Office.
- Receives and routes all incoming correspondences, telephone calls and messages.
- Assists principal in preparation of handbooks, class lists, reports, correspondence and other documents as assigned.
- Maintains records and files as may be assigned (e.g. supervision, expulsion forms, attendance logs, student locker assignments).
- Assists principal in preparation and obtaining, gathering and organizing pertinent data for report needs.
- At principal's direction, inventories and orders supplies and materials.
- Assists principal in scheduling building use and maintenance of a building calendar.
- Coordinates substitute teacher’s schedules, materials and assignments.
- Administers minor first aid as necessary.
- Keeps current with advances in office technology. Updates office procedures.
- Places calls and work orders for maintenance and repair services as directed.
- Participates in staff meetings and professional growth opportunities as needed.
- Performs other specific job-related duties as directed.
- Ability to maintain the highest degree of confidentiality.
- All Classified employees are encouraged to attend up to four (4) in-service or orientation meetings annually on a voluntary basis.
- Able to change work assignment from school to school, when so designated by the supervisor.
Performance of this job will be evaluated annually by the Superintendent or designee according to Board approved evaluation instrument.
