Job Summary

Under general supervision of the controller, the Grants Specialist is responsible for providing financial analyses and grants administration assistance, ensuring accurate and effective financial management of grants and contracts. The role coordinates grant reporting activities with LCDLR staff and external funding agencies, collects progress reports or close‑out data, and works with project managers, supervisors, and accounting staff to manage grants according to granting‑agency regulations.

Responsibilities
  • Creates new financial reports and develops invoice reports on Excel and other accounting programs.
  • Updates funder/biller reports with new grants and records invoices/reports when completed.
  • Prepares monthly invoices/reports based on due dates as mandated in contract files; obtains signatures on invoices, makes copies of all signed documents and creates a file for hard copies, and emails all reports monthly to managers/supervisors and the planner responsible for that contract.
  • Prepares all required quarterly and annual reports, including worksheets for federal draw and performing the online draw‑down.
  • Provides assistance to managers and supervisors by keeping them informed when grant expenses are over/under the budget, informs them when payroll action forms must be generated to adjust allocation, and provides financial reports to the CFO and managers as needed.
  • Records cash receipts information on the funder/biller report and reviews payroll allocations to assure accuracy according to the grant budget.
  • Makes all necessary G/L adjustments to grant revenue, A/R, deferred revenue and expenses, prepares schedules for annual audit and any other grant‑related audits as needed.
  • Assists the Development Department by recording revenue and expenses for fundraisers.
  • Records all revenues and expenses for construction or special projects.
  • Performs additional duties as assigned by the supervisor.
Minimum

Job Requirements Knowledge, Skills, and Abilities
  • Knowledge of standard regulations and principles of grant programs, budgeting, and budget analysis.
  • Ability to work independently, prioritize multiple tasks and projects, meet deadlines, and establish effective work relationships with internal and external entities.
  • Proficiency with a personal computer and software applications such as Excel, Word, and accounting software.
  • Ability to learn and retain a large number of rules and regulations and apply them consistently.
  • Clear and effective communication skills with staff and vendors.
  • Demonstrated support of diversity, equity, and inclusion and ability to work across cultures.
Education and Experience
  • Bachelor’s degree in Accounting, Business, Public Administration, Health, or Public Health preferred; an equivalent combination of training and/or experience may substitute for a bachelor’s degree.
  • Four years of grants‑management assistance experience in the public or private sector required.
  • Experience with grant administration and reporting requirements essential.
  • Experience preparing accounts payable, accounts receivable, bank reconciliation, and reports essential.
Physical Requirements
  • Stationary position; prolonged standing or sitting.
  • Bending, lifting, pushing, pulling, adjusting, or moving objects up to 15 pounds.
  • Repeating motions that may include the neck, wrists, hands, and/or fingers.
  • Upper‑extremity demands: reaching above the shoulder and/or below the waist.

Salary: $68,240 – $79,137 per year
