Job Overview
Summary/Objective

The Repair Coordinator II independently manages the full lifecycle of industrial pump repairs and the pump exchange program. Responsibilities include scheduling inspections, generating quotations, managing workflow, tracking job progress, coordinating with technicians and procurement, updating customers, and completing accurate billing. Serves as a primary liaison between customers and internal service teams.

Essential Duties and Responsibilities

  • Serve as primary point of contact for repair and exchange orders from receipt to completion.
  • Log incoming equipment, verify job scope, and initiate work orders in the ERP system.
  • Coordinate inspections and generate detailed repair quotations based on technician findings.
  • Communicate repair estimates, recommendations, and lead times; secure purchase orders and authorizations.
  • Schedule repair activities and manage job progress to meet customer commitments.
  • Collaborate with technicians, engineering, and procurement to ensure accurate, timely repairs.
  • Maintain detailed job documentation including inspection reports, material usage, and labor hours.
  • Provide proactive, professional updates on job status, scope changes, and delivery expectations.
  • Review completed jobs for accuracy and completeness prior to invoicing.
  • Prepare and issue final invoices in accordance with company and customer requirements.
  • Support operational improvements in communication, workflow, and customer satisfaction.
Qualifications

Qualifications

Experience:

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • 3–5+ years of experience in service coordination, repair operations, production scheduling, or industrial operations.
  • Strong customer communication and problem-solving skills.
  • Ability to read and understand drawings, parts, and basic functions of serviced equipment.
  • Understanding of quoting, job costing, and invoicing processes.
  • Proficiency in ERP systems and Microsoft Office Suite.

Preferred:

  • Experience in industrial equipment, rotating machinery, or pump/rotating equipment repair.
  • Familiarity with mechanical systems and repair components.

Work Environment:

  • Office and shop environment with frequent communication between departments.
  • Occasional exposure to industrial noise, temperature variations, and shop activities

Safety:

  • Office and shop setting, regular cross-functional communication.
  • Follow all safety protocols and use PPE when required.
