Overview

A Mid-level Department Support Specialist provides advanced administrative and operational support to a specific department within an organization.

Responsibilities
  • Managing the day-to-day operations of the department, including coordinating meetings, managing calendars, and organizing files.
  • Providing administrative support to department managers and staff, such as drafting correspondence, preparing reports, and creating presentations.
  • Responding to inquiries from internal and external stakeholders, and resolving issues or directing them to the appropriate personnel.
  • Assisting with the development and implementation of departmental projects and initiatives.
  • Coordinating logistics for departmental events, such as meetings, conferences, and training sessions.
  • Maintaining and updating departmental documentation, policies, and procedures.
  • Managing departmental budgets, including tracking expenses, processing invoices, and preparing financial reports.
  • Collaborating with other departments and teams to support cross-functional projects and initiatives.
  • Assisting with the onboarding and training of new departmental staff.
  • Providing guidance and support to junior departmental support staff.
Qualifications

A Mid-level Department Support Specialist should have strong organizational, communication, and problem-solving skills. They should be able to work independently and manage multiple tasks and priorities effectively. Proficiency in Microsoft Office applications and experience with office procedures are important for this role.
