About the Role

A compassionate, highly organised and emotionally intelligent PA to the Chief Executive is required to support a senior leadership team within a highly impactful organisation. This is a pivotal role involving executive support, governance coordination and a wide range of cross‑organisational responsibilities. It requires maturity, sensitivity and exceptional interpersonal skills, as you will frequently interact with staff, senior leaders, and - when on‑site - individuals using the organisation’s services.

Key Responsibilities

Executive & Administrative Support

  • Managing the CEO’s demanding diary, emails, and communications
  • Responding to and prioritising incoming correspondence
  • Coordinating travel, schedules, meetings and events
  • Maintaining confidential records, filing systems and administrative processes
  • Processing invoices and managing administrative tasks for the CEO’s office

Governance & Board Support

  • Supporting Trustees and non‑clinical subcommittees
  • Preparing and circulating board and committee papers
  • Coordinating Trustee recruitment, DBS checks and mandatory training
  • Maintaining digital governance platforms and documentation
  • Taking accurate minutes for committee and leadership meetings (minute‑taking is essential)

Meetings & Organisational Coordination

  • Scheduling and supporting internal and external meetings
  • Ensuring logistics such as venues, equipment and refreshments are arranged
  • Providing high‑quality agendas, minutes and action tracking
  • Monitoring policy review schedules using internal systems
  • Assisting with internal and external communications on behalf of the CEO

Flexible Support & On‑Site Presence

  • Hybrid working is offered, but not always consistent - the CEO may require the PA on‑site at short notice to shadow or assist with urgent or last‑minute meetings
  • Willingness to attend occasional out‑of‑hours meetings or conferences, sometimes including evenings or weekends
About You

This role requires not just competence, but kindness, emotional intelligence, and a genuine ability to interact sensitively with all individuals you may meet through the organisation.

  • Proven high‑level PA or EA experience supporting senior leaders in a complex organisation
  • Excellent diary management and organisational skills
  • Experience taking high‑quality, accurate minutes
  • Strong written and verbal communication skills
  • Ability to work independently with professionalism and discretion
  • Strong Microsoft Office and MS365 skills
  • Confidence with digital collaboration and AI‑based transcription tools (knowledge of AI platforms is a significant bonus)
  • Compassionate and emotionally intelligent approach
  • Ability to maintain confidentiality at all times
Additional Requirements
  • Ability to travel between Richmond and Surrey sites as needed
  • Own car due to the requirement to drive between the two locations
  • Flexibility for occasional evening or weekend commitments
  • Willingness to undergo a DBS check

  • Pension scheme options
  • Generous annual leave (27 days + bank holidays, increasing with service)
  • Paid sabbaticals at 5, 10 and 15 years
  • Enhanced sick pay and family leave
  • Professional memberships paid
  • Flexible working options
  • Wellbeing support, including EAP, occupational health and eye care
  • Cycle to Work scheme, Blue Light Card and more
