We have a new and exciting opportunity to join our operational team in Annesley. As Office Receptionist, you will be responsible for managing our front desk, greeting visitors, booking meeting rooms and providing support to the Operations Manager.
Working Hours are Monday – Friday 8.30am to 3pm, 30 hours weekly with a 30-minute lunch break.
Responsibilities of a Receptionist:- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office. Point of contact for interviews and contractors.
- Log and submit maintenance issues.
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, meeting/room bookings)
- Providing visitor access fobs and updating/deleting leavers or new starters as per internal instructions
- Order stationery and arranging technical support for printers
- Update calendars and schedule meetings and liaise to provide lunch.
- Clear meeting rooms and set up for following day
- Keep updated records of office expenses and costs – scanning and sending approved invoices for payment
- Constantly keep updated logs for fire purposes/health and safety and first aid – carry out weekly alarm checks, emergency lighting and 3 monthly fire drills.
- Provide administration support for projects and to the senior team.
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Proficiency in Microsoft Office and Excel
- Hands-on experience with office equipment (e.g. printers and access entry systems, although full training will be provided)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organisational skills
- Multitasking and time-management skills, with the ability to prioritise tasks
- Customer service attitude
